About This Position
Academic Travel Abroad, Inc. (ATA) is seeking a detail-oriented and collaborative Guest Operations Assistant to join the Client Services Department (CSD) in our Educational Travel Division. This part-time role is ideal for someone with strong administrative skills and a passion for supporting exceptional travel experiences. The Guest Operations Assistant will provide operational and administrative support to CSD contributing to the success of our tours and guest services.
Department: Client Services Department
Status: Part-time, hourly, Nonexempt
Location: Washington, DC (Hybrid work schedule of only 2 days in the office)
Supervisor: Assistant Director, Client Services
Anticipated Start: ASAP
Starting Wage: $25/hour
Key Responsibilities
What you’ll do…
- Maintain and organize trip files in accordance with departmental procedures.
- Prepare tour materials for tour staff as needed.
- Draft, proofread, and send traveler communications such as confirmation letters, flight notifications, and trip updates.
- Utilize the Centaur travel platform to manage trip logistics and traveler information.
- Process and confirm online reservations, including sending welcome email with logistics to travelers.
- Review traveler information and follow up on missing documents leading up to departure.
- Review and test new tour builds within the Centaur platform.

Requirements: We’re looking for…
Required Skills and Attributes
- At least 2 years of professional experience in a customer service role or in an administrative support role.
- Adept in CRM platforms, Asana, and Microsoft Office Suite is essential
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Proven success in providing excellent customer service to clients and stakeholders
- Ability to work independently and manage multiple tasks remotely
- Knowledge of the travel, tourism, or hospitality industry is preferred
