Executive Assistant | Business Development Representative

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Executive Assistant | Business Development Representative based in United States.

The Executive Assistant | Business Development Representative will provide high-level administrative and operational support within a busy legal practice.
The role combines executive assistance, client intake coordination, lead follow-up, and relationship management.
You will manage calendars, coordinate consultations, maintain accurate CRM information, and help keep administrative workflows running smoothly.
Your work will directly support productivity, client satisfaction, and opportunities to convert prospective clients into consultations.
This position requires someone who can confidently communicate with clients and prospects while managing multiple priorities with accuracy and discretion.
You will collaborate with internal teams while also serving as an important point of contact throughout the client journey.
The role is well suited to a proactive, highly organized professional who is comfortable working independently in a remote environment.

Accountabilities:
  • Provide high-level executive and administrative support, including calendar management, appointment scheduling, meeting coordination, and management of scheduling priorities.
  • Coordinate with internal teams to ensure tasks, deadlines, and operational priorities are completed efficiently.
  • Support client onboarding and intake activities, including document collection, consultation coordination, and timely follow-up.
  • Monitor new leads and prospective clients throughout the intake and consultation process, helping maximize consultation attendance and conversion opportunities.
  • Maintain accurate client and prospect information within CRM systems and keep lead, pipeline, and follow-up records organized.
  • Serve as a primary point of contact for clients and prospective clients, responding to inquiries professionally and ensuring timely communication.
  • Organize and maintain administrative records, documents, correspondence, reports, summaries, and other business documentation.
  • Identify opportunities to improve administrative, client management, and follow-up processes.
  • Handle sensitive client and business information with discretion and maintain confidentiality at all times.
  • Manage multiple assignments simultaneously while maintaining accuracy, organization, and attention to detail.
Requirements:
  • Previous administrative experience within a law firm is mandatory.
  • Previous experience with calendar management is mandatory.
  • Experience supporting client intake, lead follow-up, sales administration, or related client-facing processes is preferred.
  • Experience tracking prospective clients and maintaining structured follow-up systems.
  • Experience handling client inquiries and coordinating consultations.
  • Familiarity with CRM systems, sales pipelines, lead tracking, and client relationship management is preferred.
  • Strong organizational, time-management, prioritization, and multitasking skills.
  • Confident and professional presence, with the ability to communicate effectively and persuasively with prospective and existing clients.
  • Excellent written and verbal communication skills in English and Spanish.
  • Proactive, structured, and methodical approach, with the ability to anticipate needs and take initiative.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently, manage confidential information, and maintain productivity in a remote environment.
  • Availability aligned with Eastern Standard Time, with working hours from 8:00 AM to 5:00 PM.
