Job Description

The Volunteer & Care Support Coordinator is responsible for the day-to-day coordination and execution of the volunteer program, ensuring consistent, accurate, and timely support for volunteers, patients, and staff. This role contributes directly to the patient experience through both volunteer coordination and scheduled care support coordination at our reception desk. The coordinator works collaboratively with team members to maintain a responsive, well-organized, and compassionate volunteer & care support program. While responsibilities are shared across the team, each coordinator holds clear ownership of specific functional areas to ensure accountability and continuity.

Schedule: Full-time position working 8:00am-4:30pm either Sun-Thurs or Tues-Sat.

Essential Responsibilities

Volunteer Coordination & Scheduling

  • Coordinates volunteer scheduling to ensure appropriate coverage for patient and non-patient needs
  • Proactively identifies and addresses coverage gaps, ensuring follow-through until resolved
  • Collaborate with clinical and administrative staff to align volunteer assignments with patient and organizational needs

Communication & Volunteer Support

  • Serves as a primary point of contact for volunteer communications
  • Ensures timely, clear, and complete responses to volunteers, staff, and internal inquiries
  • Provides ongoing support and guidance to volunteers in a professional and compassionate manner

Onboarding & Training

  • Coordinates volunteer onboarding, including orientation and required documentation
  • Ensures all onboarding requirements and competencies are completed prior to assignment
  • Supports ongoing training and education efforts for volunteers

Documentation & Compliance

  • Maintains accurate and up-to-date volunteer records, including availability, training status, and role assignments
  • Ensures all documentation is completed in accordance with organizational policies and regulatory requirements
  • Maintains data integrity within volunteer management systems

Program Coordination

  • Supports consistent implementation of volunteer processes and workflows
  • Identifies operational issues and communicates them proactively
  • Assists with program-related activities, including volunteer recognition and engagement

Interdisciplinary Collaboration

  • Maintains strong working relationships with clinical and administrative staff
  • Supports coordination of volunteer services through effective communication and responsiveness
  • Participates in team meetings as appropriate

Care Support Responsibilities

As part of a shared team approach to care support coverage, coordinators participate in scheduled time at the reception desk, supporting the experience of patients and their care teams. During this time, patient-facing responsibilities take priority. Volunteer coordination tasks are completed within designated work blocks or as appropriate based on volume. Responsibilities include:

  • Providing a professional, welcoming, and compassionate presence as a first point of contact
  • Answering and triaging incoming calls, prioritizing urgency and patient needs in a fast-paced call center environment
  • Documenting calls and inquiries appropriately to clinical and administrative staff
  • Supporting clear, accurate, and timely communication between callers, visitors, and internal teams
  • Facilitate the conversion of referrals to admissions through completion of the intake process as needed
  • Assisting with administrative care tasks as needed to support daily operations

Qualifications

  • H.S. Diploma or equivalent. Associate degree in human services, healthcare, business or related field preferred
  • Minimum of 2 years’ experience in healthcare, customer service, volunteer management, or a related setting
  • Strong multitasking and organizational skills with the ability to prioritize tasks, work collaboratively as part of a team, and independently manage responsibilities efficiently
  • Valid driver’s license and proof of insurance
  • Ability to maintain confidentiality across all organizational functions
  • Alignment with the philosophy and principles of hospice care

Working Conditions

  • Physical Requirements: Frequent ambulation, ability to climb up and down stairs, able to sit for extended periods of time. Manual dexterity to operate computer and other office equipment. Locate and drive to and from meetings at other locations as necessary.
  • Mental Requirements: Read, speak, write, and understand English. Ability to add, subtract, multiply, divide and ability to work independently with indirect supervision.
  • Working/Environmental Conditions: Fast-paced changing environment, with multiple directives from several disciplines.
  • Machines, Equipment, Tools Used: Automobile, telephone, copy machine and computer.
  • Exposures: Possible exposure to communicable diseases or infections. Possible exposure to assorted chemicals, gases/vapors and other pollutants.
  • Personal Protective Equipment: Assorted gloves, assorted masks, utility gloves, protective eyewear and impervious gowns.
