Job Description
We're looking for an experienced, detail-oriented Senior Office Operations Specialist to support the final office-side stages of our repair and overhaul process. This role is responsible for ensuring completed units, certifications, documentation, system updates, and shipping paperwork move through the process accurately and efficiently.
This is a hands-on, cross-functional position for someone who enjoys becoming the subject matter expert. You'll learn every function within the department so you can provide backup support during absences, assist with complex issues, help improve processes, and serve as a resource for the team. Over time, you'll also help onboard and train new team members.
This position works closely with Customer Service, Production, Shipping, Quality, and other internal departments. It is primarily an internal support role and is not customer-facing.
Key Responsibilities:
- Become proficient in all functions within the Office Operations team to provide cross-functional support as business needs require.
- Process and review repair documentation, certifications, shipping paperwork, system updates, and related records with a high degree of accuracy.
- Serve as a department resource for resolving complex or unusual processing issues.
- Provide coverage during vacations, absences, or periods of increased workload.
- Assist with training and onboarding new team members by sharing knowledge and best practices.
- Monitor workflow to help ensure completed units and required documentation move through the process without unnecessary delays.
- Collaborate with Customer Service, Production, Shipping, Quality, and other departments to keep repairs progressing efficiently.
- Identify process improvements that increase accuracy, efficiency, and consistency.
- Maintain organized records while ensuring compliance with company procedures and quality requirements.
- Support special projects and departmental initiatives as needed.
What We're Looking For:
- 3+ years of experience in office operations, production support, repair administration, logistics, documentation, manufacturing, or a similar environment.
- Exceptional organizational and time management skills.
- Strong attention to detail and commitment to accuracy.
- Ability to learn multiple processes and comfortably switch between responsibilities.
- Strong troubleshooting and problem-solving skills.
- Comfortable working independently while collaborating with multiple departments.
- Experience training or mentoring coworkers is a plus.
- Proficiency with Microsoft Office and the ability to learn internal software systems.
- Experience in MRO, aviation, manufacturing, repair stations, logistics, or other regulated industries is preferred.
