Job Description

SUMMARY

The Board Relations Manager manages and administers the operational systems that support the Exploratorium's Board of Trustees and its committees, including Board Meeting logistics and materials, trustee communications, governance administration, and information systems. Additionally, the Board Relations Manager provides logistical and administrative support to the Innovation Council and other temporary or standing volunteer leadership groups. This position reports to the Campaign Director in the Institutional Advancement department of the Exploratorium.

ESSENTIAL FUNCTIONS

Board & Committee Operations
  • Serve as the primary point of operational coordination for all Board of Trustees and committee meetings.
  • Manage the process of developing board and committee meeting materials, including coordinating with presenters on deadlines, compiling and formatting materials, and reviewing submissions for completeness and quality before distribution.
  • Capture minutes, track attendance, and action items, and ensure timely follow-up on across committee decisions and next steps.
  • Manage the online board portal and master board calendar.
  • Trustee Communications
  • Serve as a primary point of coordination for trustee communications, including meeting invitations, updates, and event related outreach; communicate directly with trustees on routine matters, including event invitations, calendar holds, RSVPs, guest logistics, and institutional updates.
  • Support new trustee onboarding, including scheduling orientations and preparing materials.
  • Manage the administrative and operational execution of the annual board philanthropy cycle in coordination with Campaign Director and Chief Philanthropy Officer.
  • Governance Administration
  • Facilitate coordination among the Board Chair, committee chairs, the CEO, and institutional leadership on governance matters.
  • Maintain Board of Trustees and committee rosters, officer records, term tracking, committee assignments, and compliance processes including conflict of interest and sunshine ordinance requirements.
  • Coordinate Board Governance operations, including nominations, elections, evaluations, and renewals.
  • Maintain the institution's governing documents, including letters of incorporation, bylaws, committee charters, and board policies.
  • Manage the annual trustee renewal cycle in coordination with the Campaign Director and board leadership.
  • Maintain the Board of Trustees shared drive, web portal, calendar, and all board-facing collateral; serve as the final quality check on board materials prior to distribution, reviewing for completeness, formatting, and coherence.
  • Systems & Data
    Maintain board-related records in Salesforce, including trustee profiles, committee assignments, and engagement metrics.Ensure data integrity for board-related records.Develop and maintain operational workflows and tools that support board operations, including tracking dashboards, timeline templates, and process documentation.
    Additional Responsibilities
  • Provide general administrative and operational support for Board-related activities, Innovation Council, and other volunteer leadership activities.
  • Contribute to process improvements to enhance efficiency and effectiveness across workflows.
  • Develop and manage the board relations budget, tracking expenditures.
  • Perform other duties as assigned
  • MINIMUM QUALIFICATIONS

  • Bachelor’s degree or equivalent experience
  • 5 years of relevant experience in nonprofit development or board relations, including supporting boards, committees, or senior leadership
  • Proven ability to handle sensitive personal and financial information with the highest level of discretion and ethical standards
  • Expert organizational and project management skills with ability to prioritize multiple tasks seamlessly in a fast-paced environment under deadline pressure
  • Excellent communication skills, including the ability to write clearly and persuasively for a board-level audience
  • Ability to manage multiple priorities and deadlines with a high level of accuracy
  • Advanced knowledge of Microsoft Office Suite, Adobe Acrobat, and CRM systems, with Salesforce preferred

  • This position is based in San Francisco, California. Staff must work a minimum of three days per week on-site, with flexibility to be on-site for board meetings and events as needed
