Job Description:We are seeking a detail-oriented and organized Automotive Contracts Clerk to join our Business Office. In this role, you will be responsible for reviewing, processing, and posting vehicle sales transactions while ensuring the accuracy and completeness of deal documentation. The ideal candidate has prior automotive dealership experience, exceptional organizational skills, and thrives in a fast-paced, high-volume consolidated accounting environment.
Essential Responsibilities:- Post vehicle sales transactions to the accounting system accurately and timely.
- Monitor deal activity to ensure all vehicle sales are properly recorded.
- Review deal jackets for completeness, including down payments, tax forms, product documentation, and all required paperwork.
- Identify and communicate discrepancies to management and the Finance Department promptly.
- Ensure all deals comply with dealership policies, state and federal regulations, and legal requirements.
- Review trade-in documentation for accuracy and prepare payoff checks as needed.
- Verify that all funds have been collected prior to processing.
- Correct posting errors and maintain the accuracy of the general ledger.
- Meet critical month-end and financial reporting deadlines.
- Maintain confidentiality while processing sensitive customer and financial information.
- Keep a clean, organized, and efficient work area.
- Provide exceptional internal and external customer service.
- Communicate professionally and effectively with dealership staff and customers to resolve issues proactively.
- Monitor and respond to emails promptly throughout the workday.
- Cross-train with Business Office team members to ensure seamless departmental coverage.
- Perform additional duties and special projects as assigned by management.
- High school diploma or GED required.
- Previous automotive dealership experience is required.
- Minimum of three (3) years of automotive accounting or Contracts Clerk experience.
- Experience working in a high-volume dealership or business office preferred.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent attention to detail and accuracy.
- Working knowledge of automotive deal processing and dealership compliance requirements.
- Strong communication and problem-solving skills.
- Proficiency with dealership management systems and Microsoft Office applications, including Excel, Word, and Outlook.
Pay: $32.00/hr
