About the Role
We’re looking for a dedicated Administrative Assistant to join our team and help us continue delivering the level of care our patients and families deserve. In this role, you’ll be a vital part of our administrative team, ensuring excellent service, collaboration, and patient outcomes in a fast-paced healthcare environment. As the Administrative Assistant you will help keep the department smoothly by providing office support. You will serve as a key point of contact, connecting hospital and nursing home staff with outside agencies, insurance companies, patients, and their families. You will also assist with the Customer Communication Program under the guidance of the department leaders.
What You’ll Do
- Schedules, coordinates meetings, collaborates with recruiters to schedule interviews, and assists with welcoming new hires.
- Manages the calendars of the Surgical Services leadership team.
- Answers the telephone and routes calls to the proper person when personnel are unavailable for telephone calls, records and delivers messages.
- Schedules and coordinates training sessions, meetings and interviews; manages the Administrative Director's calendar; and provides overall administrative coordination and support to the team.
- Develops a knowledge of and competency in operating and maintaining all equipment.
- Prepares agendas, meeting minutes, reports, presentations, and correspondence.
- Maintains confidential employee, credentialing, and department records.
- Serves as a liaison between surgical services and other Saratoga Hospital Departments.
- Assists with maintaining policies, procedure, and accreditation documentation for regulatory agencies.
- What You Bring
- High school graduate. Minimum of two years secretarial experience, preferably in a human service setting with a working knowledge of medical terminology. Associates Degree in secretarial education or business management strongly preferred. Strong communication and teamwork skills. Commitment to providing patient-first, high-quality service. Comfort working in a fast-paced, collaborative environment.
