Webinar & Conference Producer

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Webinar & Conference Producer based in Canada.

As a Webinar & Conference Producer, you’ll take ownership of the planning, production, and delivery of engaging scientific webinars and online events.
You’ll work at the intersection of science communication, event production, client engagement, and digital technology.
The role involves collaborating closely with scientists, speakers, clients, and internal teams to create high-quality event experiences.
You’ll research emerging developments across life sciences, drug discovery, and analytical chemistry to help shape compelling scientific agendas.
From speaker sourcing and promotional content to technical production and live event management, you’ll oversee the full event lifecycle.

The position is fully remote within Canada, with occasional flexibility required to support global audiences and events across different time zones.

Accountabilities
  • Serve as the primary point of contact for assigned webinars, editorial-led sessions, and online events, managing projects from planning through completion.
  • Identify and engage high-quality speakers, scientists, and industry experts while developing compelling and relevant scientific event agendas.
  • Research scientific literature and emerging developments to ensure event topics reflect current advances across life sciences, drug discovery, analytical chemistry, and related fields.
  • Coordinate all stages of event production, including client communication, speaker coordination, pre-recording, video editing, technical preparation, and live event administration.
  • Operate webinar and event-production platforms such as BigMarker and other relevant software, ensuring smooth technical execution.
  • Create promotional and event-related copy to support marketing campaigns and drive audience engagement.
  • Maintain clear and timely communication between clients, speakers, internal stakeholders, and production teams throughout each project.
  • Ensure webinars and online events meet professional quality standards and deliver a seamless experience for audiences and clients.
  • Support the administration and production of live online events, including occasional work outside standard business hours to accommodate international audiences.
  • Keep project management systems, data trackers, and event records accurate and up to date, including tools such as Trello.
  • Participate in weekly team meetings, providing clear updates on project status, upcoming milestones, risks, and required actions.
  • Manage multiple projects, priorities, and deadlines simultaneously while maintaining accuracy and attention to detail.
Requirements
  • Previous professional experience in event production, webinar production, project coordination, or a related field; alternatively, a bachelor’s degree in a scientific discipline such as Biology, Biochemistry, Chemistry, or a related field.
  • Experience working in client-facing environments with responsibility for project coordination, stakeholder communication, or event delivery.
  • Strong interest in science and science communication, with an ability to understand and communicate scientific topics effectively.
  • Familiarity with the science, life sciences, pharmaceutical, analytical chemistry, or related industries is an advantage.
  • Marketing or promotional experience is desirable, particularly experience creating content to support events or audience engagement.
  • Strong written, verbal, and presentation skills, with the confidence to communicate professionally with clients, scientists, speakers, and industry experts.
  • Excellent organizational and time-management skills, with the ability to manage multiple projects and deadlines in a fast-paced environment.
  • Strong attention to detail and accuracy, particularly when managing event logistics, data, schedules, and technical requirements.
  • Technically comfortable and able to learn new event-production, webinar, project-management, and collaboration software quickly.
  • Outgoing, personable, and confident when engaging with clients, scientists, key opinion leaders, and other stakeholders.
  • Self-motivated and capable of working independently while contributing effectively within a collaborative team.
  • Flexible and willing to occasionally work outside standard office hours to support events serving global audiences.
  • Eligible to work remotely in Canada, with preference potentially given to candidates located in Eastern or Central time zones.
Benefits
  • Competitive annual salary of $45,000–$55,000 CAD.
