Within the context of a recovery-focused environment, this role will support the Property Services team and will be responsible for specific administrative aspects including updating housing candidate wait lists, record keeping, as well as assisting with day-to-day office tasks specific to the Property Services area including rent administration, maintenance coordination, vendor interactions and general administrative tasks.

WHAT WE'RE OFFERING:
- What you'll be making - Starting rate for this role is $25.30per hour (Level 1 – Specialized Admin; Successful external applicants will start at Level 1, with grid progression based on seniority up to Level 8 ($32.64 per hour); for internal applicants, grid level placement will occur as per the Collective Agreement
- When you'll work - 70 hours biweekly; Monday to Friday, 8:30am-4:30pm
- Your pension plan –Immediately eligible for optional enrolment in the Healthcare of Ontario Pension Plan (HOOPP)
- What your benefits will be – 9% in lieu of benefits
HOW YOU WILL BE MAKING A DIFFERENCE:
- In collaboration with the Manager, update “movement list” through information received from candidates and their supports
- Ensure information within all database programs used by Property Services is consistent and accurate
- Update key system, including physical keys, swipe cards, and key codes within a database
- Keep current database of facilities and office space
- Assist Team in coordinating Help Desk maintenance items
- Provides administrative support and assistance to the Manager Property Services, including assisting with the development and maintenance of departmental correspondence, documentation requirements, procedures, forms, reports, meeting preparations, faxing, scanning, etc.
- Supports the recruitment process in the HR database, screening applicants, emailing forms and documents, scheduling interviews, support with interview rubrics, completion of staff transition forms
- Manages communication with community vendors
- Input data and generate reports as requested through Manager Property Services and Director of Corporate Services
- Ensure reports and inspections are completed and filed in a timely manner
- Assist with contact for scheduling Help Desk work, and ensure proper notices are provided to occupants for the purpose of completing Help Desk items
- Assist Property Services staff, when necessary, by liaising with property providers / tenants /supports regarding tenancy concerns and maintenance issues
- Assist Property Services staff, when necessary, by responding to telephone enquiries, email messages
WHAT YOU'LL NEED TO APPLY:
Police Vulnerable Sector Check Requirements
Successful candidates must have a Police Vulnerable Sector Check completed in the last six months. Interested applicants who reside in the City of London and are in need of a Police Vulnerable Sector Check (PVSC) are encouraged to apply for one as soon as possible as PVSCs in the City of London are currently taking approximately 4 weeks to be processed and offers of employment cannot be made without receipt of a PVSC.
We require the following qualifications:
- Post-secondary education in office administration or equivalent work experience in property management administration (primary proof of credentials will be required during the hiring process i.e. original degree/diploma or official transcript)
- Experience with accounting, property management or property maintenance software (preferably YARDI and/or Halo)
- Current, satisfactory Police Vulnerable Sector Check (PVSC)
- Demonstrated ability to attend work regularly
- Valid driver’s licence and occasional access to a vehicle for personal transportation, with adequate insurance to carry out job duties
We prefer the following qualifications:
- Experience with Purchase Order, Bidding, and Maintenance Practices
- Knowledge and skills related to finance and invoicing
- Good working knowledge of latest versions of MS Office products and strong technical skills to work in various software applications
- Knowledge of mental illness and co-occurring complex issues
- Knowledge of Property Management
- Knowledge of the Occupational Health and Safety Act, Ontario
