WHO WE NEED
We are seeking a Group Sales Coordinator to support ROM's tourism and group sales initiatives by promoting and coordinating memorable group experiences that connect visitors with one of Canada's leading cultural institutions.
Reporting to the Manager, Tourism & Promotions, the Group Sales Coordinator is responsible for generating new business, building and maintaining strong client relationships, and coordinating group visits from initial inquiry through post-visit follow-up. This role works with a diverse client base, including tour operators, schools, corporations, associations, conference organizers, performance groups, and community organizations to deliver exceptional visitor experiences while contributing to attendance and revenue growth.
The successful candidate is a relationship-focused sales professional who enjoys developing new business, providing exceptional customer service, and creating customized experiences for clients. HOW YOU WILL MAKE AN IMPACT
- Develop new business opportunities through prospecting, networking, cold calling, client meetings, sales presentations, and relationship-building activities.
- Build, maintain, and grow long-term client relationships by providing exceptional customer service and serving as the primary point of contact throughout the sales process.
- Coordinate all aspects of group bookings from inquiry to post-visit follow-up, including scheduling, logistics, invoicing, payment processing, and client communications.
- Identify opportunities to upsell exhibitions, guided tours, educational programming, team-building activities, memberships, and other visitor experiences that enhance each group's visit.
- Collaborate with internal departments including Visitor Experience, Learning & Engagement, Retail, Food Services, Security, and Operations to ensure seamless execution of group visits.
- Maintain accurate client records, booking information, sales activities, and financial documentation using CRM, ticketing, and financial systems.
- Prepare quotations, invoices, deposits, reconciliations, sales reports, and other administrative documentation while ensuring accuracy and compliance with Museum procedures.
- Represent ROM at tourism industry events, trade shows, networking opportunities, and promotional activities to generate leads and strengthen community partnerships.
- Monitor industry trends, client feedback, and market opportunities to recommend new programs, packages, and initiatives that support business growth and enhance the visitor experience.
- Contribute to the development of marketing materials, promotional campaigns, and sales strategies that support group visitation objectives.
WHAT YOU BRING
- Minimum three (3) years of progressive sales, business development, account management, or group sales experience, preferably within a cultural institution, tourism, hospitality, attractions, events, travel, or other visitor-focused environment.
- Post-secondary diploma or degree in Hospitality, Tourism, Business Administration, Marketing, Communications, or a related discipline, or an equivalent combination of education and experience.
- Demonstrated success achieving or exceeding sales, attendance, or revenue targets through prospecting, business development, relationship management, and account growth.
- Proven experience developing new business through networking, cold calling, client meetings, presentations, referrals, and other sales outreach activities.
- Strong customer relationship management skills with the ability to build trust, understand client needs, negotiate solutions, and cultivate long-term partnerships.
- Experience coordinating group bookings, events, tours, or client experiences while managing multiple priorities and competing deadlines.
- Demonstrated ability to identify opportunities to upsell products, services, exhibitions, programs, memberships, or other value-added experiences.
- Excellent verbal, written, and interpersonal communication skills with the ability to confidently present information to clients, partners, and internal stakeholders.
- Strong organizational skills with exceptional attention to detail and the ability to prioritize multiple projects in a fast-paced, customer-focused environment.
- Proven ability to work independently while contributing positively to a collaborative, cross-functional team environment.
- Strong analytical and administrative skills with experience preparing invoices, maintaining accurate records, reconciling financial information, and producing sales or operational reports.
- Advanced proficiency with Microsoft Office, particularly Excel, Word, Outlook, and Teams. Experience using CRM platforms, ticketing systems such as VivaTickets BOS, and financial software such as Sage is considered an asset.
- Fluency in both French (written and spoken) is considered an asset.
