About the Role:
We are seeking an experienced Executive Assistant to support our CEO and Chief Experience Officer (CXO). This is a high-impact role designed for a capable, proactive professional who thrives in a fast-paced environment, anticipates needs, and manages competing priorities with exceptional discretion and sound judgment.
As the Executive Assistant, you'll protect the time and focus of our executive team by seamlessly coordinating calendars, travel, meetings, communications, and follow-through. Your ability to anticipate needs, solve problems before they arise, and create order out of complexity will enable our leaders to stay focused on driving the business forward.
Success in this role is measured by reliability, responsiveness, and the ability to create a seamless experience for our executive team.
Location – Kansas City:
This is a hybrid position based in Kansas City, MO. We offer flexibility while recognizing that regular in-office collaboration is an important part of supporting our executive team. Occasional travel may be required.
Key Responsibilities:
Executive Calendar & Time Management
- Manage complex calendars for the CEO and CXO while balancing competing priorities
- Protect executive focus time by proactively identifying scheduling conflicts and recommending solutions
- Coordinate executive meetings, one-on-ones, and leadership sessions
Travel & Executive Logistics
- Coordinate domestic and international travel, including flights, accommodations, transportation, and detailed itineraries
- Manage bookings and serve as the primary contact for travel adjustments and disruptions
- Coordinate executive logistics for conferences, speaking engagements, leadership meetings, and company events
Meeting Coordination & Project Follow-Through
- Prepare agendas, meeting materials, and executive briefings
- Capture meeting notes, action items, and decisions during leadership meetings, including EOS/L10 meetings
- Track deliverables and follow-ups to help drive accountability across the leadership team
Expense & Administrative Support
- Prepare and process executive expense reports for both executives
- Manage DocuSign workflows, Uber for Business administration, and confidential records
- Serve as a professional point of contact for internal and external stakeholders
- Screen, prioritize, and respond to incoming requests using sound judgment
- Coordinate executive communications, scheduling correspondence, and meeting logistics
Executive Operations
- Coordinate day-of logistics for leadership participation in internal meetings, client engagements, and company events
- Support special projects and strategic initiatives on behalf of executive leadership
- Handle sensitive and confidential information with the highest level of discretion
- Continuously identify opportunities to improve executive workflows, organization, and efficiency
Qualifications and Key Skills:
- 4+ years as an Executive Assistant supporting senior executives, ideally more than one simultaneously
- Demonstrated skill in complex calendar and travel management under high volume
- Exceptional organization, prioritization, and follow-through
- Outstanding written and verbal communication and a polished, professional presence
- Proven discretion and sound judgment with highly confidential information
- Proactive, anticipatory working style — solves problems before they surface
- Proficiency with Microsoft/Google productivity tools, Adobe Suite, DocuSign, and expense systems
Preferred:
- Experience supporting C-suite executives
- Experience working in a professional services, agency, consulting, or fast-growth environment
- Familiarity with EOS/L10 meeting structure
Compensation:
- $70,000 – $80,000, commensurate with experience

The pay range for this role is:
70,000 - 80,000 USD per year(Kansas City, MO)
