Join our team at Quadrant Health Group! We are seeking an experienced and motivated Admissions Call Center Manager to provide front-line leadership and supervision to our Admissions team.
Working under the direction of the Director of Admissions, this position is responsible for overseeing Admissions Representatives during their assigned shift, monitoring the admissions pipeline, and helping prospective clients move efficiently through the sales and admissions process. The Admissions Call Center Manager will provide real-time support and coaching to representatives, assist with barriers and escalations, and help ensure the team remains focused on converting qualified opportunities into successful admissions.
The Admissions team serves as a critical first point of contact for individuals and families seeking treatment. We are looking for a hands-on leader who can support and motivate a fast-paced team while maintaining a high standard of professionalism, compassion, and accountability.
This is an on-site, front-line leadership role based in Boca Raton, FL.
What You'll Do:
Major Tasks, Duties and Responsibilities:
Shift Leadership & Supervision: Oversee Admissions Representatives assigned to the manager’s shift under the direction of the Director of Admissions. Provide real-time support, coaching, and accountability to ensure effective performance.
Pipeline & Admissions Management: Actively monitor the admissions pipeline and work with representatives to move prospective clients efficiently through established sales and admissions processes, ensuring appropriate follow-up and addressing barriers to admission.
Sales Coaching: Support representatives with client engagement, objection handling, follow-up, and other sales-related challenges with the goal of improving conversion and maximizing admissions.
Escalation & Problem Resolution: Serve as the first point of escalation for representatives during the assigned shift and escalate clinical, medical, financial, or operational concerns as appropriate.
Admissions Coordination: Ensure timely communication and coordination with facility teams regarding scheduled admissions, client handoffs, and arrival logistics.
Documentation & Compliance: Ensure representatives maintain accurate documentation and follow established admissions procedures, organizational policies, and confidentiality requirements.
Leadership Communication: Keep the Director of Admissions informed of significant admissions barriers, staffing or performance concerns, and other matters requiring leadership attention.
Perform additional admissions-related duties as assigned by the Director of Admissions.
Skills, Knowledge and Qualifications:
Minimum 2-3 years of experience in admissions for a behavioral health, substance abuse, or mental health facility.
Minimum 1 year of experience in a supervisory or management role.
Deep understanding of the substance abuse treatment industry, including Levels of Care, VOB, and basic clinical pre-assessment criteria.
In-depth knowledge of HIPAA and 42 CFR Part 2 patient confidentiality regulations.
HIPAA training/certification is expected upon hire (or current).
Experience specifically with Salesforce Health Cloud is a plus.
Experience with EMR/EHR systems (e.g., Kipu)
