About This Position

POSITION SUMMARY

The primary function of this position is to provide administrative support to Executive and Senior Management, and the Executive Assistant at a highly responsible and confidential level.

ESSENTIAL JOB FUNCTIONS

  • Provides administrative and general office support to Executive and Senior Management, and the Executive Assistant.
  • Screens telephone calls, receives and replies to incoming routine correspondence and mail.
  • Performs duties associated with daily interoffice mail and currier functions at main office building.
  • Prepares correspondence, reports, memos, and confidential information; composes, proofreads, and obtains appropriate signatures for related correspondence.
  • Tracks and reconciles various credit card and membership expense records.
  • Performs scheduling tasks in group and individual calendars.
  • Maintains process and tracking for ticket giveaways.
  • Coordinates logistics, supplies, and meals for events and meetings.
  • Assists with research and preparation of various reports and records.
  • Maintains and updates online Research Library and manages physical book library.
  • Assists with coordination of business travel and tracking for Senior Management and Board of Directors.
  • Facilitates process and creates monthly Employee Spotlight.
  • Coordinates distribution of cards, flowers and gifts as needed.
  • Performs records scanning and filing.
  • Required to participate in Credit Union events and designated Community events.
  • Required to attend or participate in necessary compliance training, including but not limited to Bank Secrecy, OFAC, and Privacy, and other training sessions as appropriate.
  • Required to travel as needed.
  • Supports Executive Assistant needs as necessary.
  • Performs other duties as assigned.

QUALIFICATIONS, SKILLS AND EXPERIENCE

  • High School or equivalent of 5+ years work experience OR related business degree
  • Excellent communications skills
  • Attention to detail
  • Computer aptitude and experience with Microsoft Office products
  • Ability to pivot, prioritize and successfully function in a fast-paced work environment
  • Professional appearance and ability to work flexible hours
