Primary Objectives of Position:

The Staffing Specialist is primarily responsible for staffing programs and is the principal liaison between staff and DCi. The Staffing Specialist works to ensure that DCi is always competitive in the industry relative to staff compensation and practices, maintains an active and visible presence on the team, drives recruitment, implements new systems and efficiencies within their department, and builds on DCi’s reputation of being a preferred employer among DMCs. This position advises the Account Management team on how to best staff programs and forecasts staffing needs. The Staffing Specialist is also responsible for exercising judgement to ensure that the highest level of service is met while maintaining exemplary relationships with the staffing community and other departments.

Major Areas of Accountability:

  • Responsible for booking staff for all site visits and programs
  • Knowledgeable on staff skillsets and program needs, working to book the most suitable staff for each shift
  • Maintains healthy and respectful relationships with all staff and acts as the principal liaison between staff and DCi
  • Regularly confirms all staffing events in Dynamics are current and accurate in order to adequately staff programs
  • Maintain accurate and up to date staffing information in Dynamics at all times
  • Manage availability of top staff in Dynamics, keeping abreast of staff schedules to quickly fulfill staffing needs, strategically forecasting staffing requirements during busy seasons
  • Ensure all booked staff have confirmed their shifts in advance of program start date, replace any staff cancellations which may occur prior to or during program operation
  • Manage timelines of trip sheets, ensuring they are completed by Account Managers and sent to staff in a timely manner to allow staff confirmations and replace shifts prior to program operation
  • Onsite management of staff for programs over $250,000 in revenue as requested
  • Maintain onsite presence to build rapport with staff and become familiar with DCi services and operational venues including hotels and airports (at minimum once per month)
  • Work closely with Account Managers and Business Development Planners to ensure timely staffing requests are submitted by each department, assisting with forecasting as needed
  • Offer insight and mentorship as needed to ensure other departments are knowledgeable and proficient in staffing processes
  • Provide back-up support to the Staffing Coordinator
  • Validate and approve bi-weekly staff payroll
  • Ensure all shifts and supplemental earnings are coded properly by the deadline
  • Work closely with the Human Resources Manager to resolve discrepancies, manage special pay, and labor law compliance, e.g., sick pay, new hire notices, overtime, etc.
  • Email Account Mangers once payroll reports are saved in the program files and follow-up to ensure reviews are completed for timely processing of field staff timecards
  • Cross check staff bookings against payroll reports to confirm staff are paid for all hours worked, follow up with any staff with missing hours/reimbursements to ensure all timecards are submitted within (30) days of hours worked.
  • Complete various agency reports, including EDD claims and audits, and employment verification forms

Staff Relations:

  • Forecast staffing needs in current and new territories for all upcoming programs
  • Manage staff recruiting by posting openings on recruiting sites, requesting referrals from current staff, reviewing resumes, and conducting interviews with qualified candidates
  • Send offer letters to pre-screened candidates for staff positions, negotiating appropriate pay rates
  • Lead annual staff reviews in conjunction with the Compliance & Systems Director and Staffing Coordinator
  • Organize and track staff assessments received from team members throughout the year
  • Ensure staff ratings and skillsets are current and accurate in Dynamics at all times
  • Assess performance and compensation, making recommendations to Compliance & Systems Director regarding compensation increases or disciplinary measures as needed
  • Debrief with Account Managers post operation on programs over $250,000 for any lessons learned to identify areas of strength, as well as areas that need improvement, and make updates to processes as needed
  • Coordinate and execute staff trainings to ensure DCi is delivering the highest level of service to clients on all programs
  • Direct content of the bi-annual staff newsletter
  • Strategize with the Senior Director, Creative Services and the Compliance & Systems Director on annual staff gifts, working with the Staffing Coordinator to source, purchase, and distribute
  • Attend monthly SDTGA meeting to stay on top of the tour guide industry conversations and trends
  • Maintain knowledge of industry trends and practices, and proactively make recommendations as needed

Knowledge and Skills:

  • Bachelor's degree or equivalent experience, in related field such as the staffing or recruiting industries
  • 3+ years of experience in recruiting or staffing
  • Capability to work with little supervision, while making sound decisions
  • Strong communication skills including ability to communicate and cultivate relationships with a wide range of personalities, ability to be both empathetic and firm, and to clearly articulate precise staffing needs to avoid miscommunication
  • Ability to cultivate relationships with various levels of employees and personalities in a professional manner across all departments within DCi
  • Excellent verbal and written skills are mandatory
  • Must possess a professional appearance and demeanor
  • Flexibility and ability to travel approximately 5% of the time
