Position Overview

The Recruiting Specialist will support Foxit’s Talent Acquisition function by helping manage recruiting activity across open roles, candidate communication, interview coordination, sourcing support, reporting, and process administration. This role is ideal for someone who is highly organized, detail-oriented, proactive, and comfortable supporting a high-volume, global recruiting environment.

The Recruiting Specialist will partner closely with recruiters, hiring managers, People & Culture, and candidates to help create a smooth, professional, and consistent hiring experience. This role will play an important part in keeping recruiting activity moving, improving process visibility, and ensuring candidates and internal stakeholders receive timely support throughout the hiring process.

Key ResponsibilitiesRecruiting Coordination & Candidate Experience
  • Coordinate interviews across candidates, hiring managers, and interview panels, including scheduling, calendar management, confirmations, and follow-ups.
  • Serve as a professional point of contact for candidates throughout the recruiting process, ensuring clear communication and a positive experience.
  • Support recruiter and hiring manager communication by helping keep interview stages, feedback, and next steps organized and moving forward.
  • Assist with candidate updates, role status communications, and general recruiting correspondence in a timely and brand-conscious manner.
ATS & Process Administration
  • Maintain accurate candidate records, interview stages, notes, and recruiting activity in Foxit’s ATS.
  • Support job posting administration, including opening, updating, and closing postings as needed.
  • Ensure interview guides, scorecards, candidate materials, and process documentation are attached and organized appropriately.
  • Help maintain consistency across recruiting workflows, approvals, and documentation.
Sourcing & Pipeline Support
  • Assist with sourcing activities for active and future roles using LinkedIn, job boards, resume databases, and other recruiting tools.
  • Build and organize candidate pipelines based on recruiter and hiring manager direction.
  • Conduct initial candidate research and market mapping for assigned roles, functions, or regions.
  • Support outreach preparation, candidate tracking, and follow-up activity for priority searches.
Reporting & Recruiting Operations
  • Prepare recruiting reports, pipeline updates, and status summaries for open roles.
  • Track interview activity, candidate movement, recruiting progress, and key hiring process data.
  • Help identify process gaps, bottlenecks, or missing information that may impact recruiting timelines or stakeholder visibility.
  • Support ongoing Talent Acquisition projects related to process improvement, candidate experience, reporting, and interview consistency.
Cross-Functional Partnership
  • Partner with People & Culture, hiring managers, and regional stakeholders to support recruiting execution across business units.
  • Help ensure role requirements, interview plans, and candidate communications are aligned before and during the hiring process.
  • Support reference check and/or background check coordination depending on regional process requirements.
  • Maintain confidentiality and professionalism when handling candidate, employee, and business information.
Qualifications
  • 1–3+ years of experience in recruiting coordination, recruiting operations, talent acquisition, HR, or a related administrative support role.
  • Experience using an ATS, HRIS, CRM, or similar recruiting/HR system; Lever experience is a plus.
  • Strong organizational skills with the ability to manage multiple roles, schedules, candidates, and deadlines at once.
  • Excellent written and verbal communication skills.
  • High attention to detail and comfort maintaining accurate records and process documentation.
  • Ability to work with a sense of urgency while maintaining professionalism and accuracy.
  • Strong follow-through, ownership, and ability to keep tasks moving without constant direction.
  • Comfortable partnering with stakeholders across different functions, time zones, and regions.
  • Proficiency with Microsoft Office, Outlook, Teams, Excel, and related productivity tools.
Preferred Qualifications
  • Experience supporting recruiting in a software, SaaS, technology, or global business environment.
  • Exposure to LinkedIn Recruiter, job boards, sourcing tools, or candidate research.
  • Experience coordinating interviews across multiple time zones.
  • Familiarity with structured interviewing, scorecards, or competency-based hiring processes.
  • Interest in growing within Talent Acquisition, recruiting operations, or People & Culture.
