The Human Resources & Finance Coordinator provides administrative and operational support across the University’s Human Resources and Finance functions. The position supports payroll and benefit functions, purchasing, accounts payable, and financial reporting while providing responsive service to employees and other University stakeholders.
The Coordinator works collaboratively with Human Resources, Finance, supervisors, and employees to maintain accurate records, support established processes, and ensure transactions and documentation are completed in accordance with University policies and procedures. Expected hours are 20 hours per week.
Primary Responsibilities
- Maintain accurate employee records, personnel files, and HR documentation.
- Process employee changes, new-hire documentation, onboarding materials, and separation records.
- Support employee onboarding and orientation activities.
- Assist with payroll preparation by maintaining employee information, reviewing changes, and coordinating required documentation.
- Maintain records related to compensation, benefits, leave, and other employment matters.
- Assist employees with routine HR questions and direct more complex matters to appropriate leadership.
- Support benefits enrollment, employee communications, and annual HR processes.
- Prepare routine HR reports and maintain appropriate documentation.
- Support recruitment activities, including job postings, applicant coordination, interview scheduling, and hiring documentation.
- Maintain confidentiality of employee and organizational information.
- Assist with other HR administrative processes and projects as assigned.
- Process accounts payable transactions and maintain supporting documentation.
- Review invoices and payment requests for appropriate approvals, coding, and documentation.
- Assist with purchasing and procurement processes.
- Process employee reimbursements and other approved expenditures.
- Maintain vendor records and assist with vendor inquiries.
- Support credit card documentation and reconciliation processes.
- Assist with account reconciliations and routine financial recordkeeping.
- Prepare and maintain documentation supporting financial transactions and audit requirements.
- Assist departments with routine questions regarding purchasing, invoices, reimbursements, and financial procedures.
- Support month-end, year-end, budgeting, and audit activities as assigned.
- Assist with other Finance processes and projects as needed.
- Provide responsive and professional service to employees, vendors, and University departments.
- Follow established internal controls, approval processes, and University policies.
- Identify incomplete documentation or process discrepancies and coordinate appropriate resolutions.
- Support continuous improvement of HR and Finance administrative processes.

- Associate degree or equivalent combination of education and relevant experience.
- Experience in administrative, human resources, accounting, payroll, business office, or related work.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and meet established deadlines.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office or comparable business applications.
- Ability to handle confidential and sensitive information with discretion.
- Demonstrated commitment to accuracy, service, and professional integrity
Preferred Characteristics
- Bachelor’s degree in business, accounting, human resources, or a related field.
- Experience in higher education or a nonprofit organization.
- Experience with HRIS, payroll, accounting, purchasing, or financial management systems.
- Familiarity with accounts payable, payroll, employee records, and basic accounting processes.
Working Conditions and Physical Requirements
- Work at a desk in an office or home-office setting; Sit at an office desk for extended periods of time.
- Work for extended periods of time at a computer, requiring the ability to send and receive information with necessary optical, auditory, and manual dexterity.
- Periodic travel to conferences, events, relationship building or similar gatherings.
- Use a keyboard and mouse to enter, retrieve or transfer words or data information and/or move from screen to screen on the computer to view information.
- Strong written and verbal communication and interpersonal skills; comprehend and speak English.
- Display the reading skills necessary to proofread written material.
- Perform basic mathematical calculations.
- The employee may occasionally lift or move up to 25 pounds.
