About the role
The Office Assistant (Summer Student) will be responsible for executing a dedicated "data hygiene" and "digital asset" project across multiple departments. This position supports our commitment to ISO 9001 compliance by auditing internal systems, standardizing corporate documentation, and clearing out an administrative backlog to optimize our daily operational efficiency. Reporting to the Human Resources Generalist.
The successful candidate will gain hands-on corporate experience by providing essential entry-level support across our Finance, Field Service Administration, and Sales & Marketing teams.
WHAT YOU’LL DO Data Integrity & Systems Administration- Audit, verify, and update customer and vendor records across internal business systems, including QuickBooks and Salesforce, to support accurate and consistent data management practices.
- Organize and standardize shared digital filing systems by maintaining consistent folder structures, archiving outdated documentation, and improving accessibility and usability across departments.
- Support ongoing data quality initiatives to ensure operational efficiency and alignment with internal administrative standards.
- Assist with accounts payable administration by reviewing receiving documentation and matching supporting records against vendor invoices to identify discrepancies or missing information.
- Perform supervised financial and administrative data entry to support accurate reporting and record maintenance.
- Provide general administrative assistance to support day-to-day office operations and departmental workflow coordination.
- Assist with project and service administration by creating job files, organizing digital work order documentation, and maintaining accurate project records.
- Update project and service activity statuses within internal systems to support scheduling visibility and operational tracking.
- Support inventory and logistics coordination by verifying parts and materials against packing slips and project documentation to ensure readiness for field deployment.
- Review and maintain CRM records by identifying duplicate accounts, correcting outdated information, and supporting overall database accuracy within Salesforce.
- Research and update client contact information through professional phone and email outreach when required.
- Assist with maintaining clean and organized customer relationship management records to support sales and marketing initiatives.
- Organize and maintain digital assets, including job site photography and marketing materials, using standardized naming and filing conventions. Conduct basic market and competitor research through online platforms and compile findings for internal review.
- Monitor and organize inventory levels of marketing collateral, branded merchandise, and promotional materials.
- Provide administrative and logistical support for company events, trade shows, and internal initiatives as needed.
- Must be a student currently enrolled in an academic or co-op program (minimum 16 years of age).
- Strong general computer literacy with an aptitude for learning new digital systems quickly.
- Outstanding attention to detail and an interest in data organization, sorting, and file maintenance.
- Comfortable making polite, professional outbound phone calls and email inquiries to verify records.
- Strong organizational skills and the ability to comfortably transition between tasks from different departments.
- Hands-on exposure to corporate administration, finance pipelines, and modern CRM systems.
