About Brillante Academy

Brillante Academy Public Charter School opened its doors in August 2023. In our fourth year, we will have Pre-K3 through 4th grade and serve over 530 students from the Rio Grande Valley in the Mission area and surrounding communities in its first year. We will continue to grow one grade-level a year until 8th grade. Over the next decade, we plan to expand our network across the state of Texas to serve over 7,000 students. The Charter Management Organization (CMO) for Brillante Academy is Seton Education Partners, a Catholicly inspired organization that also manages the Seton Teaching Fellows missionary program and El Camino, an optional after-school Catholic faith formation program. Seton Education Partners is also the CMO for our sister schools, the Brilla Schools Network, which are having a transformational impact in Bronx, NY.

Position Overview

We are looking for a mission-driven team member who is committed to customer service excellence and has the ability to build strong relationships that invest families and staff in the importance of attendance, engagement and accurate student data. The PEIMS Clerk ensures Brillante Academy maintains accurate, timely, and compliant student information, attendance, enrollment, report card and reporting systems that support student success and operational excellence. This role manages PEIMS (Public Education Information Management System) reporting requirements, maintaining data integrity across all student information systems, and supporting campus enrollment operations to ensure every student is accurately accounted for and set up for success. As a key member of the front office team, the PEIMS Clerk is one of the primary points of contact for families, visitors, and staff, providing a welcoming, responsive, and service-oriented experience while ensuring efficient and accurate campus operations. This role sits on the Operations Team and is co-managed by the School Principal and a Seton Texas staff member. Your typical week would include a variety of tasks such as:

  • Serving as a member of the Brillante front office team greeting families, answering phones, responding to inquires, serving on the front desk coverage rotation and providing exceptional service and communication to families
  • Managing PEIMS data submissions, reporting cycles, and ensuring compliance with TEA requirements
  • Partnering with students, families and staff to promote strong daily attendance
  • Managing daily attendance systems, ensuring accuracy, compliance, and timely reporting
  • Documenting all attendance changes, correcting attendance data, and completing audits as needed
  • Training staff and parents on PEIMS/student enrollment processes (report cards, attendance, special education coding, EB coding etc.)
  • Communicating attendance updates to staff, identifying students at risk of chronic absenteeism and providing proposed next steps/plans to support early intervention
  • Conducting parent outreach (calls, texts, emails) to support attendance improvement and address absences
  • Entering, updating, and maintaining student records in the student information system
  • Supporting student enrollment, withdrawals, and transfers, ensuring all documentation is complete and accurate
  • Coordinating report card and progress report processes, including data verification and distribution
  • Manages incoming and outgoing request for student records
  • Reviewing enrollment paperwork to ensure completion and following up with families as needed
  • Setting up, managing and auditing student folders
  • Providing family support with enrollment paperwork, registration systems, and required documentation
  • Maintaining accurate student rosters and supporting daily campus operational needs
  • Collaborating with school leadership to review data reports and support decision-making
  • Assisting with arrival/dismissal, campus events, enrollment drives, community events for recruitment and other family engagement initiatives

Qualifications

  • Strong alignment to Brillante Academy’s mission and commitment to serving students and families
  • High School Diploma
  • Bilingual in English and Spanish required
  • Excellent interpersonal and relationship-building skills
  • Strong data management and organizational skills, with the ability to quickly learn, navigate, and utilize new systems and technology platforms effectively
  • Experience working in a school setting and managing, maintaining, and entering large volumes of data with a high degree of accuracy preferred
  • Ability to manage multiple priorities in a fast-paced environment
  • Customer service mindset with a warm, welcoming, and solutions-oriented approach
  • Strong written and verbal communication skills
