Job Description
Position Summary
The Warranty Clerk is responsible for the accurate processing, submission, and management of all warranty claims within the dealership. This role ensures compliance with manufacturer policies, timely reimbursement of claims, and proper documentation of warranty repairs while supporting the service and administrative teams.
Essential Duties and Responsibilities
- Prepare, submit, and track manufacturer warranty claims in a timely and accurate manner.
- Review repair orders to ensure proper documentation, coding, and compliance with warranty requirements.
- Communicate with manufacturers regarding claim approvals, rejections, and adjustments.
- Work with Service Advisors and technicians to obtain necessary supporting documentation.
- Monitor outstanding claims and follow up to ensure timely resolution and payment.
- Maintain organized electronic and physical warranty records.
- Reconcile warranty receivables and assist with monthly reporting.
- Stay current on manufacturer warranty policies, updates, and procedural changes.
- Assist with audits by providing required documentation and clarification.
- Identify and correct errors in warranty submissions to reduce claim rejections.
- Support service department administrative needs as assigned.
- Ensure compliance with dealership policies and OEM guidelines.
Qualifications
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to interpret repair orders and warranty guidelines.
- Proficiency with dealership management systems and computer applications.
- Ability to work independently and meet strict deadlines.
- Basic understanding of automotive service operations preferred.
- Valid driver’s license preferred but not required.
Education and Experience
- High school diploma or equivalent required.
- Previous experience in automotive warranty processing or dealership administration preferred.
- Experience with manufacturer warranty systems is a plus.
- On-the-job training may be provided for qualified candidates.
Physical Requirements
- Ability to sit for extended periods of time.
- Frequent use of computers, phones, and office equipment.
- Ability to occasionally lift up to 15 pounds.
- Ability to read, review, and process detailed documentation.
- Ability to work standard office hours with occasional overtime if needed.
Work Environment
Work is performed primarily in a dealership office environment with regular interaction with service department staff and manufacturers in a structured, deadline-driven setting.
