Transitional Services for New York, Inc. (TSINY) seeks a Human Resources Coordinator for their Administrative office in Whitestone (Queens), NY. TSINY is a non-profit mental health services agency.

Annual Salary: $50,000

Position Summary

The Human Resources Coordinator provides administrative and operational support to the Human Resources Department across a variety of functional areas, including recruitment, onboarding, benefits administration, HRIS data management, employee records administration, audit support and employee communications. This role plays a key part in maintaining accurate HR records, supporting employee programs, coordinating HR processes and ensuring efficient day-to-day HR operations. The position supports HR compliance efforts by maintaining accurate documentation, tracking required records, and assisting with audits and regulatory requirements.

Essential Functions

Recruitment & Onboarding

• Assist with recruitment activities, including posting positions, tracking applicants, sourcing candidates, scheduling interviews, conducting initial phone screens and performing reference checks.

• Coordinate pre-employment activities, including employment verifications, background checks, motor vehicle reports, fingerprinting appointments and collection of required documentation.

• Prepare onboarding materials and coordinate new hire orientation logistics.

• Conduct new hire orientation and benefits orientation sessions.

• Coordinate new hire stats to third party agencies as needed.

• Photograph and print employee identification badges for new hires.

• Maintain recruitment and onboarding records and ensure completion of required documentation.

HRIS, Payroll & Employee Records

• Enter and maintain employee information within the HRIS system, ensuring data accuracy and completeness.

• Process employee status changes and coordinate with Payroll to ensure timely and accurate updates related to new hires, terminations, compensation changes, transfers, and benefits elections.

• Produce and distribute HR reports using ADP Workforce Now and other systems as required.

• Maintain employee personnel files, certifications, licenses, training records and related documentation in accordance with Agency policies.

• Assist with record retention, file audits, document retrieval and secure destruction of records.

• Maintain employee rosters, organizational charts and other HR tracking documents. Benefits Administration & Employee Support

• Assist with benefits administration activities, including enrollment processing, employee communications and benefits documentation. • Coordinate annual open enrollment activities, including scheduling meetings, preparing materials, tracking participation, and responding to routine employee inquiries.

• Assist with leave administration documentation and tracking as assigned.

• Respond to employment verification requests and other routine HR inquiries in a timely manner.

• Provide courteous and professional customer service to employees and applicants. Compliance, Audits & HR Operations

• Assist with Agency and departmental audits by preparing documentation, maintaining records and tracking required materials.

• Support HR compliance efforts by maintaining accurate records and tracking required certifications, acknowledgments and training requirements.

• Assist with HR events, employee recognition programs, including Annual Service Awards and departmental initiatives.

• Schedule meetings, interviews and HR-related events and maintain calendars and agendas as needed. • Assist with internal and external HR-related inquiries and requests.

• Remain informed of HR best practices and applicable employment regulations.

• Provide front desk coverage and administrative support as needed.

• Attend job and Agency-related training as required to maintain compliance and ensure continued professional development.

• Be able to sit and stand as needed, with or without reasonable accommodation.

• May require walking, primarily on a level surface, for short periods throughout the day, with or without reasonable accommodation.

• Be able to reach above shoulder heights, below the waist or lift as required to file documents or store materials throughout the workday, with or without reasonable accommodation.

• During a declared disaster, assume and adhere to assigned Job Action role(s) consistent with Disaster Preparedness Plan. • Attend job and Agency trainings as required to maintain compliance and ensure continued professional development.

• Perform other related duties as required.

Experience/Education/Skills/Abilities

• Associate's degree in Human Resources, Business Administration or a related field preferred. Equivalent combination of education and relevant experience will be considered.

• Two (2) years of administrative, human resources, payroll, benefits, recruiting or office coordination experience required.

• Experience with ADP Workforce Now or similar HRIS platform preferred.

• Strong proficiency in Microsoft Office 365, including Excel, Word, Outlook and PowerPoint.

• Demonstrated ability to generate reports, process employee transactions accurately, manage HR data and maintain organized records with a high degree of attention to detail.

• Excellent verbal and written communication skills with the ability to interact effectively with employees, applicants, management and external contacts.

• Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.

• Strong organizational skills, attention to detail and ability to manage multiple priorities in a fastpaced environment.

• Ability to sit for extended periods, perform filing and record management tasks, and lift and carry boxes weighing up to 25 pounds.

• Minimum travel required.

Minimum qualifications may be waived in unusual circumstances with approval of the CEO as long as City and State requirements are met.
