Job Overview
You will be involved in events from planning and coordination to final execution. Main responsibilities include attending walkthroughs as needed, assisting the management team in communicating with vendors, clients and staff, overseeing menu and signage creation and printing, and leading the service team in executing events.
Primary Duties
- Assist in updating event details for BEOs including menu details, floor plans, room setup and coordination questions.
- Responsible for maintaining the event staffing list and posting all open shifts in Paylocity.
- Assist in the administrative creation of and changes for all menu items and event package changes within Triple Seat and InDesign, as well as ensuring printing of all documents, menus and collateral associated as needed.
- Ensuring that BEOs are up to date in the kitchen and in the event folders.
- Provide operational planning to ensure adequate products and equipment are ordered for anticipated business levels.
- Liaison with the Event Manager on all BEO details to successfully set up and execute events.
- Oversee assigned event set up, breakdown and complete event recaps on all assigned events.
- Ensure that all assigned event setups and breakdowns are executed correctly, efficiently, and expeditiously.
- Ensuring that event staff is breaking and cut as needed.
- Foster relationships with clients upon arrival of their event to load out.
- Collaborate with management and service teams to ensure successful execution of events.
- Responsible for being the ambassador of hospitality for all assigned services.
- Welcome, train, and oversee event staff.
Secondary Duties
- Provide feedback to Events Manager on staff performance and guest feedback.
- Attend departmental meetings as required.
- Attend designated meetings, menu and tastings as needed.
- Assist with restaurant and service training of events team as required

Qualifications

- Flexibility in the face of changing information.
- Strong communication skills are a must.
Requirements
- Ability to reach, bend, stoop, stand for long periods of time, and lift up to 50 pounds.
- A professional appearance which meets company grooming standards.
- Availability to work nights, weekends, and holidays.
- Flexible availability on a week-to-week basis based on the needs of the business.
Education and Experience
- 4+ years’ experience in hospitality, luxury or private club experience is preferred.
- 2+ years in event production or catering experience.
- 1+ years in a leadership position.
- High school graduate or equivalent vocational training certificate.
- Fluency in written and spoken English.
