HOURS: Eight hour shift M-F within 6:00 am to 6:00 pm MST operating hours.

JOB PURPOSE:

The Product Readiness & Documentation Coordinator 1 (PR & DC-1) ensures that every product release is thoroughly validated and clearly explained before it reaches customers. Using AI-assisted testing and documentation tools, this role bridges the gap between product development and end-user understanding — ensuring product releases function as intended and that customer facing documentation is accurate, complete, and available to support product use.

JOB SUMMARY:

The Product Readiness & Documentation Coordinator works within the assigned product operations structure established by the Vice President overseeing that product unit and is responsible for coordinating quality validation and documentation workflows across the Synergy assigned product unit portfolio.

This role leverages AI-powered tools — including automated testing pipelines and documentation generation agents — to maintain product quality and keep user-facing content accurate and current at every release cycle. The PRDC focuses on coordinating AI-assisted testing and documentation processes rather than software development activities and will direct these tools with product expertise and judgment, reviewing outputs, identifying gaps, and ensuring both quality and documentation meet the organization’s standards.

The PRDC works closely with the assigned Product Unit, Development, QA, CRC, Implementation and Training teams to align release readiness checkpoints with documentation updates.

JOB DUTIES:

  • Coordinate AI-assisted product testing workflows, directing automated test agents to validate features, regression scenarios, and release readiness across the Synergy product suite
  • Maintain and continuously improve documentation libraries, using AI tools to generate, update, and synchronize user guides, ETN and release notes, QRGs, Videos and other help content with each product release
  • Review and quality-check outputs from automated testing and documentation agents, applying product knowledge to identify gaps, inaccuracies, or coverage blind spots that require human judgment
  • Partner with Product Managers and Development leads to understand upcoming releases and translate that knowledge into test coverage priorities and documentation update plans
  • Serve as the readiness checkpoint before releases go live — confirming that both quality validation and user-facing documentation are complete and accurate
  • Maintain organized records of test results, known issues, documentation versions, and release readiness status across all active product initiatives
  • Collaborate with CRC, Implementation, and Training teams to ensure documentation is accessible, accurate, and useful for customers and internal staff
  • Identify opportunities to expand or improve AI-assisted workflows, making enhancements to tooling, process, and coverage as the organization’s AI capabilities evolve
  • Provide regular status updates on release readiness, documentation completion, and open quality issues to the manager and relevant stakeholders
  • Other duties as assigned

JOB REQUIREMENTS-KNOWLEDGE/SKILLS/ABILITIES:

*Knowledge:

  • Familiarity with software product development and release cycles in a SaaS or K–12 ed-tech environment
  • Working knowledge of software functionality and a demonstrated ability to learn complex software products, identify quality issues, and understand end-user workflows
  • Experience utilizing AI-assisted tools (e.g., ChatGPT, Claude, or similar) to improve productivity, documentation quality, testing efficiency, and business processes
  • Knowledge of K-12 education workflows, terminology, and customer needs preferred or the demonstrated ability to quickly acquire product and industry knowledge
  • Proficiency with Microsoft Office Suite and familiarity with documentation platforms

*Skills:

  • Exceptional written communication skills — able to produce clear, accurate, user-friendly documentation independently
  • Demonstrated ability to develop, implement, and continuously improve Edupoint processes, documentation standards, and operational workflows
  • Demonstrated initiative, sound judgement, persistence, and follow-through in resolving complex issues and completing assignments independently
  • Vision for what AI-assisted quality and documentation could look like — able to see beyond today’s processes and imagine a smarter, more automated way of doing things
  • Strong written communication skills — able to turn complex product behavior into clear, user-friendly documentation that is easily understood by end users

*Abilities:

  • Ability to design and build new workflows from the ground up — including ones that don’t exist yet — by combining AI tools, product instinct, and creative problem-solving
  • Ability to challenge perceived boundaries and limits of AI-tools to push innovation
  • Ability to work effectively in a dynamic environment with evolving priorities and processes
  • Ability to learn fast, self-direct, and adapt to evolving responsibilities and organizational needs
  • Ability to establish effective working relationships, collaborate across functional teams, and contribute to process improvement initiatives

EDUCATION AND/OR EXPERIENCE:

  • Previous quality assurance experience is preferred but not required- equivalent experience demonstrating process improvement, analytical thinking, and documentation skills is required
  • Any experience that demonstrates curiosity, initiative, and the ability to figure things out independently — whether in software, writing, education, customer service, or another field entirely
  • Bachelor’s degree preferred; or equivalent combination of education, training, and relevant experience
  • Demonstrated interest in AI tools and a track record of using technology creatively to solve problems — even in a personal or academic context — is a strong differentiator
  • Experience with Synergy™ products is a plus, but not required

TYPICAL PHYSICAL DEMANDS AND WORK ENVIRONMENT:

Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies, occasionally lifting files, objects or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, telephone, copier and other office equipment as necessary. Hearing must be in the normal range for telephone and video conferencing contacts. Visual acuity necessary to work extended hours on computer screens. Ability to work in an environment with moderate noise and which can be fast paced and project intensive. Travel in the performance of duties may be required.
