About the Position:

Saint Ignatius High School, a highly successful Jesuit college preparatory school for boys in Cleveland, Ohio, is seeking an administrative assistant to support the mission of Saint Ignatius High School by providing administrative and secretarial support to the office of student life, discipline, and attendance. This position reports directly to the AP for Student Discipline and provides direct and indirect support to students through a variety of programs and duties, including establishing and maintaining records, compiling and distribution of reports, data entry, expense management, special event planning and coordination and responding to all internal and external inquiries. The ideal candidate will enjoy working with students and possess a welcoming, customer-service attitude along with the administrative skill set to manage multiple priorities in a busy office. This is a full-time, 10-month position working through the school year approximately August through May.

Primary Areas of Responsibility:

  • Oversees daily student attendance and discipline processes in compliance with state laws and school rules (e.g., parent correspondence, data entry, daily/weekly/monthly reporting, JUG/detention scheduling, field trips, consultation with faculty/staff/administration, etc.)
  • Oversees student parking and locker assignments
  • Coordinates student transportation program in conjunction with Cleveland Metropolitan School District, RTA, and local school districts
  • Creates and distributes daily announcements document for students, parents, and faculty/staff; assists with creation of morning PA announcements
  • Provides support for recurring and ad hoc student life projects/initiatives (e.g., school events, school photos, student orientation days, graduation, maintenance of student files, etc.)
  • Assists with oversight of student clubs and non-athletic extracurriculars (e.g., attendance, moderator contracts, field trips, etc)
  • Assists in the planning, organization, and administration of in-school standardized testing and semester exams
  • Assists in student course scheduling and registration activities throughout the school year
  • Assists with the running of reports and queries at the direction of the AP for Student Discipline and the AP for Student Life
  • Collaborates closely with the school nurse’s office regarding student health concerns, injuries, and extended absences
  • Creates a welcoming, friendly, helpful environment and provides high quality service and assistance to all students, parents, teachers, staff, and visitors to the Assistant Principal’s office
  • Performs other duties as assigned by school administrators or their designees

Qualifications:

  • Associate Degree in Office Administration, Administrative Assistance, or Office Systems Technology preferred
  • 2-3 years’ experience in student based or customer service setting
  • 2-3 years’ clerical experience in an office setting, educational office experience preferred
  • Knowledge of standard clerical procedures and office operations, including proper telephone and e-mail etiquette
  • Significant comfort level with various software applications, including but not limited to, Microsoft Word, Office, Excel, PowerPoint, Publisher, and Google Docs etc.

  • Experience working within a database in order to run reports, queries, and manage data/information
  • Ability to communicate effectively in oral and written form
  • Ability to proofread material and edit for corrections; organize and prioritize work

  • Maintain confidentiality and sensitivity
  • Work cooperatively and effectively with students, parents/guardians, faculty/staff, administrators, co-workers, and the general public
  • Ability to learn new software applications
  • Flexibility and willingness to embrace growth and change

Saint Ignatius High School, which opened its doors in 1886, is a Jesuit college-preparatory school with a Catholic tradition rooted in the Spiritual Exercises of St. Ignatius of Loyola.
