Job Description

Brownstein is looking for a Full-Time Office Manager to join our team and help us achieve our agency goal of creating Unstoppable Brands and delighting our staff as well as our clients. In this position, you will manage the in-person experience of the Brownstein Group team by ensuring our associates, as well as the external audiences who engage with the agency at our headquarters are delivered an elevated experience that aligns with our brand promise. This role is responsible for mapping the Brownstein Group audience journey and ensuring that we achieve on the expectations of a warm, inviting and thoughtful experience at all touch points along this path.

Responsibilities:

• Ordering and ensuring supplies are on hand and office location is set up when associates are on site at our Philadelphia location

• Executive Team support for some C-Suite executives

• Some HR support including but not limited to updating of org. chart, managing key card distribution, spot bonus nominations, birthday e-mails, etc.

• Ordering swag items for different divisions

• Leading Culture Committee

• Being on site to greet our associates and outside clients and vendors

• Work with CFO for property management needs as well as maintenance of office equipment, etc.

• Plans and facilitates business travel for associates

• Manage Transit Check orders and distributions for local team

• Manage agency voice mail system

• Responsible for greeting/waiting room approach; dining and food/beverage; amenities; restrooms and public spaces; ambient sound, olfactory, tactile and visual elements.

• Creation and management of a client profile system (ie. food allergies/preferences, birthday, BG client anniversary)

• Logistics management for on-site events, including client meetings, pitches and other gatherings

• Receives Deliveries

• Various projects as needed

Qualifications:

• Client relationship experience

• Ability to prioritize competing tasks

• Excellent organization skills and attention to detail

• Must be on-site 2-3 days per week at 215 S. Broad Street

Physical Requirements & Working Conditions:

• Ability to sit or stand for prolonged periods of time

• Periodic lifting up to 35 pounds

• This position requires time in office buildings or outdoors
