General Summary: Under the direction of the Dean of College Advancement, the Advancement Services Specialist leads the development and operation of processes, data, systems, and reporting used by the Advancement/Foundation team and their partners at the College. The Advancement Services Specialist has primary responsibility for the integrity and effective operations of data management, donor records and information, and gift processing. The incumbent manages the strategic implementation and use of technological systems to increase and maintain the effectiveness of MCC's relationships with all its constituents. They oversee the day-to-day management of all aspects of the development and alumni database and information services and are responsible for the documentation, reporting, and analytics for prospect management, individual fundraising, direct marketing, annual giving, targeted campaigns, events and other projects as assigned. The Advancement Services Specialist will guide the Advancement Office and the College in its efforts to use data to identify prospects; increase major, planned and annual gifts; generate direct response and on-line giving revenue; and improve rates of donor retention.

The Advancement Services Specialist is responsible for accuracy of data and ensuring the best utilization of Blackbaud's Raiser's Edge and NXT software as well as the E-Mobile constituent engagement tool and other software. The incumbent troubleshoots system problems and provides support and training for all Raiser's Edge users and generates campaign, donor and alumni relations, and other specialized mailing lists. The incumbent also develops complex system queries to identify key constituent groups and works with Blackbaud (vendor) on technical/system issues, implements new Raiser's Edge modules and system upgrades. They conduct regular database maintenance, cleanup, system upgrade/enhancements, import of new data, training and select audit functions.

The Advancement Services Specialist works in partnership with the Advancement team, contributing strategies and leadership to help reach fundraising and engagement goals. The Advancement Services Specialist reviews and assesses the existing operations to increase data integrity, improve processes, create/update standard operating procedures, create management reports and provide important information for key decision-making. They train all officers, new employees and staff on Raiser's Edge, BlackBaud products and updates, Award Spring, as well as other software tools utilized by the department.

The Advancement Services Specialist will assist with the design, implementation and management of online registrations, surveys, and data collecting resources to track and report for various college events outside of the Advancement office as needed.

Duties and Responsibilities:

Data Management:

  • Maintains all aspects of College Advancement services including database management, data integrity, gift processing, and reporting.
  • Provides vision and support to develop applications for a wide range of initiatives and projects.
  • Serves as the Advancement department's primary liaison to the college's IT department.
  • Maintains familiarity with data sources, including other college areas such as enrollment services, search engines, professional search engines, NCOA, and the U.S. Postal Service.
  • Performs sophisticated segmentation and selection of lists for direct mail, marketing campaigns, President's visit to alumni, donors and prospects in specific geographic areas, email campaigns and in-house mailings.
  • Manages frequent data imports and exports from multiple outside sources.
  • Creates, documents, and enforces data entry guidelines to ensure data quality and consistency.
  • Ensures donor profiles are updated, current, and accurate.
  • Uses on-line and other resources to gather publicly available information on donors and prospects for data hygiene.
  • Identifies qualified research services for mass donor screenings.
  • Oversees data verification for accuracy on reports.

Raiser's Edge/BlackBaud Expertise:

  • Maintains the integrity of the Raiser's Edge database to ensure accurate and comprehensive data entry.
  • Manages the business relationship with Blackbaud, Inc.
  • Researches current and prospective constituencies for community outreach.
  • Creates marketing campaigns to recruit and advertise specialty grants for Institutional Advancement

Gift Processing:

  • Processes donations, matching gifts, pledges and reconciles with finance.
  • Audits pledges, tracking and reporting all outstanding pledged donations
  • Prepares documentation on procedures as required. (This is done outside of gift processing as well)
  • Prepares, submits and enters financial deposits.

Prospect Research:

  • Prospect management, research and identification through Research Point and other resources to assist with College Advancement initiatives.
  • Suggest opportunities for funding that align with MCC's Strategic Plan and the MCC Foundation's mission to support MCC students.
  • Grant research through collaboration on the Advancement Grant Opportunities committee.

Technology/Social Media:

  • Maintains awareness and knowledge of new technologies. Offers suggestions on incorporating such technologies into current programs.
  • Creates and maintains online donation pages for all departments at the college. Seeks best practices for online giving platforms.
  • Sends frequent email blasts to specific constituent groups.
  • Researches donor prospects utilizing Raiser's Edge Research Point software and other media outlets to conduct research and generate reports on findings
  • Assesses and identifies potential problems
  • Assists with ADA remediation efforts with College's website and other digital materials.
  • Assists with Website maintenance, embedding code for videos and forms on pages, using HTML and includes files.
  • Participates in Professional Development opportunities.
  • Assists with other software products and implementations as required.
  • Manages and trains staff with Raiser's Edge applications and modules, along with website, AwardSpring, Banner and other software used within the department.

Reporting:

  • Establishes campaign tracking protocols and ensures adherence to reporting standards.
  • Produces all annual reports on giving.
  • Works with staff to develop, maintain, and produce reporting and analyze documents for each fundraising project.
  • Interfaces with finance department to ensure consistent revenue reporting. Designs, researches, analyzes, and creates top executive reports for benchmarking and ongoing data analysis including reports for President, Vice President of Institutional Advancement & Workforce Development, Dean of College Advancement, etc.

Project Management:

  • Manages multiple projects and timelines simultaneously, in a dynamic, fast-paced environment.
  • Proactively identify potential problems and provide solutions.
  • Works with other college departments to design and manage their online registrations, reports and email communications for events outside the Advancement office.
  • Analyzes and reports on data as needed
  • Assists the Advancement Office with fundraising event operations, and outreach initiatives, the annual fund grants process, Annual Report, Tax Receipt mailing, Foundation Scholarship online application process, and alumni research, cultivation, stewardship and relations.

BANNER and Budgeting:

  • Designs data mapping; directs and manages the transfer of student data files from BANNER to Raiser's Edge.
  • Coordinates with Human Resources effective data mapping that regularly updates employee status as it relates to Advancement initiatives.
  • Creates and processes purchase orders, invoices and financial information as needed for Advancement and Foundation related activities and payment processing.
  • Provides Banner reports as needed for finance, audit, budgets, purchasing and planning purposes.
  • Coordinates all budget activity for the department including processing PO requests, monitoring all budget codes, and generating budget reports on spending and available funds for both Advancement and the MCC Foundation.
  • Manages and administers the Accounts Payable function for both the Advancement and Foundation Banner codes.
  • Performs other related duties as required.


Job Requirements:
  • Bachelor's Degree
  • Five or more years' experience in a Development Office
  • Database management (RE/NXT Raiser's Edge) knowledge and experience
  • Proficiency in MS Office suite, AwardSpring, and Crystal Reports
  • Attention to detail, ability to prioritize and manage multiple projects

PREFERRED QUALIFICATIONS:

  • Master's Degree
  • Experience in higher education
  • Demonstrated skills in problem solving techniques
  • Excellent oral and written communication skills
