Job Summary
The Clinical Staffing Coordinator (CSC) is responsible for coordinating and supporting hospital-wide staffing operations to ensure safe, efficient, and cost-effective staffing practices throughout CareWell Health Medical Center. The CSC serves as the primary administrator of the organization's workforce scheduling system and collaborates with department leaders to maintain appropriate staffing levels in accordance with patient census, acuity, regulatory requirements, and organizational policies.
The CSC is responsible for workforce scheduling, staffing coordination, payroll support, maintenance of personnel and educational records, onboarding support, meeting coordination, and communication management. The CSC serves as a key liaison between departmental leadership, Human Resources, Payroll, Staffing Office, and clinical departments to support operational efficiency and continuity of patient care.
Essential Functions
- Functions as the primary administrator and subject matter expert for the hospital's workforce scheduling and staffing software/platform.
- Prepares, manages, and maintains employee schedules in accordance with hospital staffing plans, regulatory requirements, and organizational policies.
- Monitors staffing levels and communicates staffing shortages, vacancies, call-outs, and scheduling concerns to department leadership.
- Assists with staffing adjustments based on census, acuity, productivity targets, and operational needs.
- Coordinates agency, traveler, per diem, overtime, float pool, and supplemental staffing requests as directed.
- Generates staffing, productivity, vacancy, overtime, and agency utilization reports.
- Reviews employee timecards for completeness and accuracy and assists with payroll reconciliation and correction of discrepancies.
- Maintains employee scheduling profiles, department assignments, certifications, and related workforce management records.
- Assists with hiring, onboarding, orientation scheduling, and training of new employees.
- Ensures all staffing activities comply with state and federal employment laws and organizational policies.
- Monitors employee licensure, certification, and required competency expiration dates and notifies leadership of upcoming expirations.
- Assists with preparation and maintenance of records required for regulatory and accreditation surveys.
- Coordinates meetings, prepares agendas, records minutes, and distributes meeting materials as assigned.
- Communicates pertinent information to appropriate personnel in a timely and professional manner.
- Management, and Admissions personnel to facilitate appropriate patient placement and bed assignments based on clinical needs, unit capabilities, isolation requirements, and bed availability, as needed.
- Assists with collection, compilation, and reporting of staffing and departmental statistics.
- Maintains confidentiality of personnel, payroll, and staffing information.
- Provides excellent customer service and serves as a resource for employees regarding scheduling and staffing processes.

Working hours:
Monday to Friday
7:00 AM to 3:00 PM or
3:00 PM to 11:00 PM
Must be willing to work holidays, weekends and provide additional coverage as needed.

Minimum Education/Certifications
High School Diploma or equivalent and a certificate or degree in health studies or a related field are required.
High level of proficiency with Microsoft products, especially in Outlook, Word, PowerPoint, and Excel.
Able to type at least 40 words per minute.
Minimum Work Experience
Two years of experience in a related field in the last 3-5 years preferred.

CareWell Health provides a salary/hourly rate range for all open positions to comply with New Jersey Law. The rates listed for each position is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future. When determining a team member’s base salary and/or rate, several factors may be considered as applicable (e.g., specialty, service line, years of relevant experience, education, credentials, negotiated contracts, budget and internal equity). The salary range does not include bonuses/incentives, differential pay or other forms of compensation which can be discussed in detail with your talent acquisition specialist.
The salary/hourly rate range for this position is: $58,000 (Salaried)
