Summary:

The Administrative Assistant – Maintenance & Engineering provides administrative, clerical, and project support to the Maintenance and Engineering Departments. This position serves as a key resource for department managers by coordinating documentation, maintaining records, supporting inventory and compliance audits, facilitating purchasing activities, and assisting with special projects. The ideal candidate must be highly organized, adaptable, detail-oriented, and capable of managing multiple priorities in a fast-paced manufacturing environment.

Essential Duties & Responsibilities:

  • Provide administrative support to all Maintenance and Engineering Managers.
  • Serve as a coordinator for special projects and departmental initiatives as assigned.
  • Create, revise, and maintain Standard Operating Procedures (SOPs), Work Instructions, training materials, and other departmental documentation.
  • Prepare reports, spreadsheets, presentations, correspondence, and other business documents as requested.
  • Coordinate and facilitate outgoing shipments and package distribution for department managers.
  • Process purchase requests and orders through the Precoro purchasing system.
  • Maintain accurate records and filing systems for departmental documentation.
  • Conduct routine audits of maintenance documentation to ensure accuracy, compliance, and completeness.
  • Conduct inventory audits and assist with inventory tracking and reconciliation activities.
  • Record and distribute meeting minutes for departmental meetings and project discussions.
  • Assist with scheduling meetings, appointments, training sessions, and departmental activities.
  • Coordinate uniform distribution and management for all Maintenance Department employees on both day and night shifts.
  • Support continuous improvement efforts through data collection, recordkeeping, and administrative project coordination.
  • Communicate effectively with employees, supervisors, vendors, and contractors while maintaining a high level of professionalism.
  • Prioritize and shift between multiple assignments based on changing business and operational needs.
  • Maintain confidentiality of sensitive departmental and company information.
  • Perform additional duties and special projects as assigned.

Education & Experience:

  • Minimum of 3 years of administrative support experience in a manufacturing, maintenance, engineering, or industrial environment preferred.
  • Experience creating and maintaining SOPs, work instructions, and training documentation preferred.

Preferred Qualifications:

  • Strong interpersonal and customer service skills.
  • Excellent written and verbal communication skills.
  • Strong organizational, planning, and time management abilities.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong data entry, filing, and record management skills.
  • Ability to handle confidential information with discretion and professionalism.

Physical Requirements:

  • Stand and walk for extended periods throughout the facility.
  • Climb stairs regularly throughout the workday.
  • Lift and carry up to 50 pounds.
  • Sit, bend, reach, stoop, and move throughout office and production areas.
  • Operate computers, office equipment, and standard business tools for extended periods.

Work Environment:

  • Daily interaction within a manufacturing facility.
  • Exposure to industrial production areas, including noise, moving equipment, and manufacturing processes.
  • Personal Protective Equipment (PPE) may be required when entering production areas.
  • Must be willing to work a flexible schedule and overtime as needed to support business operation.
