Senior Executive Assistant, Innovation & Delivery

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Senior Executive Assistant, Innovation & Delivery based in United States.

The Senior Executive Assistant, Innovation & Delivery will serve as a strategic partner to senior leadership by creating structure, improving operational rhythms, and enabling effective decision-making.
This role combines executive support, project coordination, and team operations to help a high-impact organization move priorities forward.
You will manage complex schedules, build efficient workflows, and ensure leadership teams remain aligned across critical initiatives.
The ideal candidate is proactive, highly organized, and comfortable anticipating needs in a fast-paced, mission-driven environment.
You will collaborate with executives and cross-functional stakeholders while leveraging modern tools, including AI, to improve productivity and communication.

Accountabilities:

The Senior Executive Assistant will provide high-level executive support while improving team operations, communication flows, and execution processes. This role requires strong judgment, discretion, and the ability to manage complex priorities while acting as a trusted partner to senior leaders.

  • Serve as the executive partner supporting senior leadership, managing complex calendars and ensuring time is aligned with strategic priorities.
  • Own and continuously improve leadership operating rhythms, including team meetings, one-on-ones, planning sessions, business reviews, and organizational events.
  • Coordinate internal and external meetings by preparing agendas, briefing materials, pre-reads, decision documentation, and action tracking.
  • Manage domestic and international travel arrangements, itineraries, expenses, and logistics while resolving issues proactively.
  • Act as a trusted advisor by understanding business priorities and helping optimize executive focus and effectiveness.
  • Create executive-ready presentations, reports, and briefing documents using strong storytelling, organization, and AI-enabled tools.
  • Identify opportunities to automate workflows and improve recurring processes related to communication, meeting preparation, reporting, and information management.
  • Support leadership events, onsite meetings, and team gatherings by managing logistics and ensuring seamless execution.
  • Track strategic initiatives, milestones, decisions, and follow-ups to maintain momentum across cross-functional projects.
  • Partner with leaders across the organization to improve collaboration, communication, and operational efficiency.
  • Develop scalable administrative processes and modern collaboration practices that increase accountability and productivity.
  • Provide backup support for other executives when needed while maintaining the highest level of confidentiality and discretion.
Requirements:

The ideal candidate is an experienced executive support professional who thrives in dynamic environments and can combine operational excellence with strategic thinking. You should be comfortable supporting senior leaders, managing ambiguity, and improving processes through technology and innovation.

  • 5+ years of experience supporting senior executives in a fast-paced, high-growth, or complex organization.
  • Proven ability to manage competing priorities while maintaining exceptional attention to detail and organization.
  • Strong proactive mindset with the ability to anticipate executive needs and independently drive solutions.
  • Excellent written and verbal communication skills with the ability to interact confidently with executives and stakeholders at all levels.
  • Demonstrated experience managing leadership meetings, executive workflows, team operations, or strategic initiatives.
  • Strong project coordination skills with the ability to track priorities, deadlines, decisions, and action items.
  • Experience creating polished presentations, executive briefings, and structured documents from limited information.
  • Advanced proficiency with Google Workspace, collaboration platforms, and modern productivity tools.
  • Experience using AI tools for research, drafting, summarization, workflow optimization, or process improvement.
  • Ability to exercise sound judgment, discretion, and confidentiality when handling sensitive information.
  • Adaptable, resourceful, and comfortable working in a remote-first environment with evolving priorities.
