About This Position

Hotel Equities, a multi-award-winning hotel development and hospitality management company, is currently searching for a remarkable Reservations and Group Housing Manager for the The Vanguard in Ann Arbor, MI.

Job Purpose:

Supervise and handle all group, VIP and sales related reservations by providing efficient, accurate and courteous services while performing administrative duties related to guest and hotel communications.


ESSENTIAL DUTIES/RESPONSIBILITIES

Answer phones promptly and courteously while ensuring all inquiries are dealt with accurately, timely and in a professional manner.

Be familiar with the hotel, its services and the local area. Keep up-to-date on all local and hotel functions in order to efficiently respond to telephone inquiries.

Respond to telephone inquiries and reservation requests by explaining product and service options in order to sell rooms. Gather needed information from customers in order to confirm reservation.

Take calls from Central Reservations regarding group and transient reservation questions and overrides.

Input transient reservations as needed for volume accounts, small catering functions, VIPs and other sales request.

Handle building all group blocks and inputting rooming lists. Set-up routing and billing for group reservations. Monitor progress of group blocks and make updates as needed.

Input Contract/Airline rooms as needed and set-up routing/billing.

Prepare for and lead weekly group pick-up meetings.

Assist sales manager and/or director of sales on projects, proposals and special events.

Maintain accurate records for guaranteed no-shows, cancellations, advance deposits, attrition, occupancy and history information.

Provide accurate and up-to-date reports on daily and monthly room and reservations information in order to assist management with forecasting, tracking and staffing.

Enter all special room requests into the PMS and alert front desk staff of special requests in order to ensure department follow-through and guest's satisfaction.

Maintain a professional and positive communication to both guests and fellow employees.

Perform other duties as assigned, requested or deemed necessary by management.

OTHER DUTIES/RESPONSIBILITIES

Balance inventory daily in the PMS and reservations system

Process group and transient commissions

Assist guests with reservation changes and special requests as needed

Attend weekly group resume meetings along with pre-con meetings as needed

Participate in hotel committees and task force opportunities.

Travel - limited travel required for training and/or special projects.

Hours: Scheduled days and times may vary as needed.


Qualifications and Requirements:

High School diploma /Secondary qualification or equivalent.

Experience with Marriott, Hilton, IHG, Wyndham or Hyatt processes and standards.

This job requires the ability to perform the following:

  • Must have dexterity/mobility to meet clients on and off premises, to tour property and attend functions, to climb stairs, use door keys and operate basic office equipment.
  • Vision to read fine print and computer screens, to see colors, to observe rooms in poorly lit conditions.
  • Understand and follow verbal/written instructions.
  • Work on more than one task at a time.
  • Develop strong internal and customer relationships .
  • Set and manage priorities and plan activities in advance.
  • Solve problems and make sound business decisions.
  • Respond to coaching, feedback and training.
  • Strong and effective sales skills.
  • Ability to operate computer reservations and PMS systems
  • Must have two to three years of hotel front office and/or reservations experience.

    • Strong communication skills are essential when interacting with guests and employees.
    • Reading and writing abilities are used often when completing paperwork, logging issues/complaints/requests/ information updates, etc.
    • Basic math skills are used frequently when handling cash or credit.
    • Problem-solving, reasoning, motivating, and training abilities are often used.
    • Have the ability to work a flexible schedule including nights, weekends and/or holidays
