About This Position
Position Description:
The Registrar/PEIMS Clerk is responsible for managing student records, enrollment, and the accuracy of all student data within the student information system. This role supports compliance with the Public Education Information Management System (PEIMS) and Texas Education Agency (TEA) and Texas Education Code (TEC) requirements.
The Registrar/PEIMS Clerk works in collaboration with the Business Manager, campus leadership, and a third-party back-office provider to ensure accurate data, compliant reporting, and timely submissions. As a founding role in a first-year charter school, this position helps establish reliable systems and processes for student data, reporting, and enrollment.

Responsibilities
- Student Records and Enrollment
- Enroll and update student demographic, enrollment, attendance, scheduling, withdrawal, and promotion data.
- Maintain accurate cumulative student records in alignment with PEIMS requirements.
- Collect and verify required documentation from previous schools.
- Process withdrawals and records requests to other districts within required timelines.
- Conduct and document the student lottery process in alignment with enrollment procedures.
- PEIMS Reporting and Compliance
- Maintain accurate PEIMS data and support all required reporting cycles.
- Prepare, validate, and support the submission of PEIMS reports including Fall, Midyear, Summer, and Extended Year.
- Ensure compliance with TEA and PEIMS Data Standards in coordination with leadership and a third-party back-office provider.
- Support audit readiness through accurate documentation and reporting files.
- Participate in PEIMS trainings, updates, and ongoing professional development.
- Data Integrity
- Identify and correct data errors and discrepancies in a timely manner.
- Ensure accuracy of student information across systems and reporting categories.
- Communicate data issues and resolutions with campus staff, leadership, and external partners.
- Maintain and document consistent and reliable student data processes.
- Campus Support
- Support grading and reporting processes including report cards and data verification.
- Collaborate with campus staff to ensure data accuracy and alignment.
- Support daily office and enrollment operations.
- Maintain confidentiality and professionalism in handling student and staff information.
- Perform additional duties and responsibilities as assigned.
Education and Experience
- High school diploma or equivalent required. Bachelors degree preferred.
- Minimum of 3 years of experience in a registrar, PEIMS, or student data role preferred.
- Experience with PEIMS reporting and Texas student information systems such as Ascender preferred.
Knowledge and Skills
- Strong understanding of student information systems and data management
- Knowledge of PEIMS and TEA reporting requirements
- High attention to detail and accuracy
- Strong organizational and time management skills
- Ability to manage multiple deadlines and reporting cycles
- Strong communication and collaboration skills
- Ability to work independently and exercise good judgment
- Willingness to learn and continuously improve
- Bilingual in English and Spanish preferred

Schedule
- Full-time, approximately 230 workdays, Monday through Friday. Additional hours may be required during peak enrollment and reporting periods. Some evenings and weekends may be required to support school events and operational needs. Schedule is subject to change based on school needs.
Compensation and Benefits
- Estimated hourly rate: $22.00-$26.00, based on experience and qualifications.

LICENSES OR CERTIFICATES
Must possess a valid Class C Texas Drivers License or obtain one within 30 days of becoming a Texas resident.
PHYSICAL DEMANDS AND WORKING CONDITIONS
Work requires visual acuity, speech, hearing, and manual dexterity to operate standard office equipment. Duties include sitting, standing, walking, bending and twisting as needed to perform essential functions.
