The Commercial Mechanical & Plumbing Project Manager is responsible for the successful execution of commercial mechanical and plumbing projects from contract award through closeout. This role focuses on material procurement, detailed project scheduling, quality control, project documentation, permitting and inspections, and coordination with internal teams, foremen, vendors, inspectors, and clients. The Project Manager ensures projects are delivered on time, within budget, and in full compliance with contract documents and applicable codes.

Key Responsibilities

Project Management & Execution

  • Manage commercial mechanical and plumbing projects from contract award through final completion and closeout.
  • Develop, maintain, and update detailed project schedules in coordination with the Sales & Estimating Team and field foremen.
  • Track project costs, monitor job performance, and provide regular status updates to management.
  • Participate in ongoing coordination and progress meetings as required.

Material Procurement

  • Plan, schedule, and manage procurement of all mechanical and plumbing materials and equipment.
  • Identify and manage long-lead items to maintain schedule integrity.
  • Review vendor pricing, issue purchase orders, and track material deliveries.
  • Coordinate material staging and delivery timing with field foremen.
  • Resolve material substitutions, backorders, and delivery conflicts proactively.

Manpower Coordination

  • Coordinate manpower requirements with the Sales & Estimating Team to align labor resources with project schedules.
  • Communicate schedule updates and work sequencing with field foremen.
  • Support field execution by ensuring labor has timely access to materials, drawings, and approved information.

Quality Control

  • Ensure all work is performed in accordance with contract documents, approved submittals, manufacturer requirements, and applicable codes.
  • Review installation methods and sequencing with foremen to maintain quality and constructability.
  • Identify, document, and resolve quality issues promptly.
  • Support inspections, testing, and commissioning activities as required.

Permitting & Inspections

  • Procure, track, and manage all required mechanical and plumbing permits.
  • Coordinate inspections with local authorities having jurisdiction (AHJs).
  • Prepare and submit required inspection documentation and corrections.
  • Track inspection status to ensure compliance with project schedules and requirements.

Submittals & Project Documentation

  • Manage the full submittal process, including preparation, review, tracking, and approvals.
  • Coordinate with vendors, engineers, and clients to ensure timely and accurate submittals.
  • Maintain complete and organized project records, including logs, drawings, and correspondence.

RFI Management

  • Prepare, submit, and track Requests for Information (RFIs).
  • Coordinate responses with design professionals and internal teams.
  • Communicate RFI resolutions to field foremen and ensure incorporation into the work.

Change Order Management

  • Identify, document, and price change events.
  • Prepare change order documentation and supporting backup.
  • Coordinate scope clarification and negotiation support with the Sales Manager.
  • Track potential and approved change orders to ensure timely execution and billing.

Pay Applications & Financial Controls

  • Prepare and submit monthly pay applications and required supporting documentation.
  • Track approved change orders, retainage, and billing status.
  • Coordinate project financial closeout and final billing documentation.

Qualifications

  • 5+ years of experience managing commercial mechanical and/or plumbing construction projects.
  • Strong working knowledge of HVAC, plumbing, and piping systems.
  • Proven experience with material procurement and long-lead item management.
  • Experience managing permits, inspections, and AHJ coordination.
  • Proficiency in project scheduling, cost tracking, and documentation control.
  • Experience managing submittals, RFIs, pay applications, and change orders.
  • Strong communication, organizational, and leadership skills.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.
