Job Description
Job Summary:
The Surgery Scheduler is directly accountable to the Operating Room Patient Care Assistant Manager, Patient Care Manager and/ or the Director of Surgical Services. Position requires utilization of clinical knowledge to schedule appropriate procedures/surgeries per provider’s orders. The Surgery Scheduler must schedule hospital procedures consistent with the patient’s diagnosis and procedure request within the block time requested. Possession of excellent customer service skills with patients, employees, and the public at all times. The Surgery Scheduler must be able to respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. Individual must be organized, and be able to manage demanding workload with accuracy.
Performance Expectations:
Performance expectations will be covered in the orientation and precepted phases of your orientation to your job.
- Schedules cases for the FGH Main Operating Room, Orthopedic Institute, and FGH Labor and Delivery and GYN in EPIC.
- Maintaining the Operating Room scheduling system with block times as developed by the Medical Director, Assistant Manger of Surgery, Manager of Surgery, and Director of Surgical Services.
- Alerting the Manager of Surgery and/ or Director of Surgical Services to conflicts immediately as they occur.
- Coordinates with Cath lab, Interventional Radiology, MRI, CT, Endoscopy for anesthesia cases.
- Communicates with all departments to maximize efficiency and expedite the admission process.
- Coordinating the anesthesia assignment as developed by the Anesthesia Medical Doctor in charge for the day by the assigned time as needed.
- Coordinating special needs for cases with the appropriate specialty coordinator as the case is scheduled.
- Schedules neuromonitoring for any add on case requiring the day of.
- Uses “We Care” philosophy in dealing with all customers daily.
- Required appropriate use of department’s communication app.
- Participates in the educational opportunities for the implementation and mastering of the EPIC Intra-op system.
- Present to our offices the upmost customer service, resolving any and all conflicts.
- Maintains all Health Stream assignments within the time deadline.
- Participate in all staff meetings and educational opportunities.
- Maintain all annual competencies.
- Notify surgery staff and CRNAs of early starts as needed
- Communicate with HBC Perfusion of specialty cases.
- Acts as a resource to all department personnel (surgeons, medical secretaries, nurses, residents, etc.) .
Qualifications:
Education/Skills
- High School diploma or equivalent required.
- Two years of college preferred. Extensive work experience may substitute for some collegiate studies.
- Knowledge of Microsoft Word and Excel applications
Work Experience:
- Strong communication skills required.
- Computer experience required.
- Must have a working knowledge and experience of data processing systems and data analysis.
- Must be able to work in an active environment and remain calm and focused.

Mental Demands:
- Exceptional oral and written skills are required to relate effectively to Hospital and medical staff. The individual must have the ability to type and be familiar with the rules of spelling, grammar, and punctuation.
- The individual must have the ability to use a computer display station, copier, telephone, personal computer, and calculator.
- Working knowledge of medical terminology is necessary.
- The individual must have a high energy level and be capable of handling pressure situations both mentally and physically.
