This is a high-impact operational role designed for a highly organized professional who thrives in fast-paced, detail-critical environments. You will act as the backbone of marketing operations, ensuring that logistics, budgeting, vendor coordination, and administrative systems run seamlessly across multiple initiatives. Working closely with senior leadership, you will take ownership of day-to-day execution support, freeing up strategic capacity for executive stakeholders. The role spans marketing operations, event coordination, financial tracking, and back-office systems management, requiring both precision and adaptability. You will contribute directly to the smooth execution of events, campaigns, and operational workflows across a multi-brand organization. - Act as a direct operational support to senior marketing leadership, managing action items, preparing briefing materials, tracking deliverables, and ensuring follow-through on priorities.
- Oversee marketing financial operations including budget tracking, invoice processing, vendor payments, expense reconciliation, and maintenance of spend and SaaS cost controls.
- Manage end-to-end inventory, print, and fulfillment processes, including sourcing branded materials, coordinating shipments, tracking delivery timelines, and overseeing stock management.
- Coordinate procurement and vendor management activities, ensuring contracts, invoices, and service agreements are properly tracked and maintained.
- Support back-office operations including document management, scheduling coordination, access provisioning, and administrative system upkeep.
- Plan and execute marketing events and conferences, including logistics such as venue booking, catering, travel arrangements, booth setup, AV coordination, and on-site execution.
- Support internal teams by ensuring operational readiness across campaigns, events, and marketing initiatives with no disruption to timelines or deliverables.
- Maintain operational dashboards, spreadsheets, and tracking systems to ensure full visibility over marketing execution and financial flows.
- 7+ years of experience in marketing operations, executive support, operations management, or a logistics-heavy administrative role with ownership of budgets and projects.
- Strong experience in event planning and execution, including conferences, booths, vendor coordination, travel logistics, and on-site operations.
- Solid understanding of financial operations such as invoice processing, expense reconciliation, GL coding, and budget vs. actual tracking.
- Advanced proficiency in Google Workspace, spreadsheets, and operational tools; familiarity with SaaS systems, billing processes, and digital workflows.
- Experience managing procurement, vendor relationships, print production, fulfillment, and shipping logistics.
- Highly organized, detail-oriented, and able to manage multiple deadlines without losing accuracy or control over execution.
- Strong ownership mindset with a proactive, self-sufficient approach to problem-solving and task execution.
- Comfortable leveraging AI tools and automation to improve workflows, streamline operations, and enhance efficiency.
- Strong written and spoken English communication skills, with the ability to work effectively in a remote international environment.
- Valid passport and willingness to travel internationally for on-site events (up to several times per year).
- Experience supporting senior executives or acting in an executive assistant / operations hybrid capacity is highly desirable.
- Fully remote working arrangement based in LATAM with flexible coordination across international teams.
- Competitive monthly compensation of USD $2,500.
