Medical Records Processor – Job Description
Position Summary The Medical Records Processor is responsible for managing, organizing, and maintaining patient health information with accuracy, confidentiality, and efficiency. This role supports clinical operations by completing chart audits, processing referrals, handling medical records requests, and coordinating with internal and external partners, including attorneys.
Key Responsibilities- Chart Audits — Review patient charts for completeness, accuracy, and compliance with organizational and regulatory standards.
- Process and Send Referrals — Prepare, submit, and track outgoing referrals to ensure timely coordination of care.
- Short Fax Communications — Send and receive brief fax communications related to patient records, referrals, and provider requests.
- Medical Records Payments — Collect and process payments for medical records requests in accordance with policy and legal guidelines.
- Coordinate With Attorneys — Communicate with legal offices regarding medical record requests, subpoenas, and documentation needed for legal cases while ensuring HIPAA compliance.
- Maintain Record Integrity — Ensure all patient information is accurate, up to date, and stored according to privacy and security standards.
- Support Clinical Teams — Assist providers and staff with locating, retrieving, and updating patient records as needed.
- Medical Records Processing — Scan, upload, index, and organize documents within the electronic health record (EHR) system.
- Strong attention to detail and accuracy
- Ability to maintain confidentiality and follow HIPAA regulations
- Excellent communication and organizational skills
- Experience with EHR systems preferred
- Ability to work independently and manage multiple tasks
- Professional interaction with patients, staff, and external partners
