About the Role:

  • Responsible for day-to-day operations of a department or function, and direct support of one or more key leaders of the group, to ensure the orderly and efficient management of the department/function. Performs a variety of complex and highly confidential administrative, facilitation of staffing operations, analytical, and project coordination duties. Working with internal and external constituents.

KEY RESPONSIBILITIES:

  • Collaborates with leadership and staff to complete various departmental projects.
  • Conducts research, collects, analyzes, and maintains data to generate complex statistical, confidential administrative reports.
  • Ensures accuracy and proper formatting of all materials, reviewing spelling, grammar, punctuation, and completeness.
  • Prepares statistical and other reports using spreadsheet software, verifying calculations and data accuracy.
  • Provides administrative, logistical, and technical support by composing sensitive correspondence, preparing board/committee agendas and minutes, and assisting with document management.
  • Helps develop and maintain project timelines, deliverables, and tracking tools.
  • Supports leadership in organizing meetings, coordinating travel logistics, and managing calendars.
  • Greets and directs visitors, including executive leadership and board members.
  • Handles department-specific duties such as processing payroll, and invoicing.
  • Coordinates events, meetings, and conferences, arranging necessary logistics, catering, and meeting spaces.
  • Maintains organized departmental files, processes invoices, and collaborates with finance to ensure smooth operations.

REQUIREMENTS:

  • Education: Bachelor's degree preferred
  • Experience: 1-3 years of experience
