This role is a key operational pillar within a fast-paced Talent Acquisition function, supporting recruiters, hiring managers, and HR teams throughout the full hiring lifecycle. You will ensure a seamless and efficient candidate experience by coordinating interviews, managing scheduling logistics, and maintaining accurate recruiting data within applicant tracking systems. The position requires strong organizational skills and the ability to adapt quickly to shifting priorities in a high-volume environment. You will also play an important role in pre-employment processes, compliance checks, and offer coordination activities. Acting as a central connector between candidates and internal stakeholders, you will help drive smooth hiring operations and timely recruitment outcomes. This is a highly collaborative and detail-oriented role with direct impact on talent acquisition efficiency and employer branding.
- Coordinate and schedule interviews across multiple formats, including phone, virtual, and in-person sessions with candidates, hiring managers, and panels.
- Support Talent Acquisition Specialists and HR teams throughout the recruitment and offer process lifecycle.
- Manage candidate workflows, documentation, and updates within applicant tracking systems such as Workday.
- Oversee pre-employment processes including background checks, drug screens, DOT requirements, and other compliance-related steps.
- Handle recruiting administrative tasks such as travel arrangements, HR tickets, and internal coordination requests.
- Ensure a high-quality candidate experience through timely communication and efficient process management.
- Collaborate on recruiting projects and continuous improvement initiatives within the talent acquisition function.
- High school diploma or GED required; additional education in HR or related fields is a plus.
- Experience in recruiting coordination, HR support, or administrative roles within a high-volume environment.
- Proficiency with applicant tracking systems, preferably Workday, and strong Microsoft Office skills (Word, Excel, PowerPoint).
- Familiarity with HR tools such as SAP or SharePoint is an advantage.
- Strong organizational skills with the ability to manage multiple priorities and shifting deadlines effectively.
- Excellent written and verbal communication skills with a strong focus on teamwork and collaboration.
- High attention to detail, adaptability, and ability to work in a fast-paced, dynamic environment.
- Experience with compliance processes or DOT-related requirements is a plus.
