The Maintenance Planner reports directly to the Maintenance Manager and is responsible for planning, scheduling, and coordinating all maintenance work within the facility. This role ensures maintenance activities are fully planned, properly resourced, reviewed in the field, and aligned with production schedules before execution.
The Maintenance Planner works closely with Maintenance, Production, Engineering, and Supply Chain to create an executable weekly maintenance plan. This position also supports efficiency through data analysis, parts readiness, contractor coordination, and continuous improvement of maintenance practices.
Responsibilities- Develop detailed job plans for corrective, preventive, and predictive maintenance work.
- Build and maintain a weekly maintenance schedule aligned with production needs.
- Partner with Production Planning to schedule maintenance around manufacturing requirements.
- Lead weekly maintenance planning meetings with area leadership.
- Manage and prioritize the maintenance backlog based on safety, equipment criticality, and operational impact.
- Perform field job walks to scope work, validate job steps, and identify labor, tools, permits, and safety requirements.
- Create and maintain complete work packages, including:
- Step-by-step job instructions
- Required parts and materials
- Drawings, procedures, and safety documentation
- Coordinate parts kitting for planned maintenance work.
- Ensure materials, tools, and contractor resources are ready before scheduled work begins.
- Coordinate with contractors and vendors for maintenance activities.
- Manage vendor communication, scope development, quotes, and quote evaluation.
- Support contractor onboarding, site readiness, and safety compliance.
- Analyze preventive maintenance completion to identify gaps and improvement opportunities.
- Develop and maintain MRO consumption reports to track material usage, inventory, and maintenance spend.
- Track and report maintenance metrics such as:
- Schedule compliance
- Backlog health
- PM completion rates
- Labor utilization
- Use data to improve planning accuracy, execution efficiency, and reliability performance.
- Utilize CMMS systems to manage work orders, job plans, schedules, and maintenance history.
- Use Excel for reporting, data analysis, and KPI tracking.
- Use PowerPoint to communicate maintenance performance, plans, and initiatives to leadership.
- Use Microsoft Project or Excel to create Gantt charts for shutdowns, major repairs, and capital work.
- Apply basic project management principles to keep work on time, within scope, and properly coordinated.
- Spend consistent time on the production floor evaluating PMs and maintenance tasks.
- Identify and implement improvements to job plans, task sequencing, tooling, and execution methods.
- Develop and maintain standardized preventive maintenance work instructions.
- Support reliability initiatives, including failure analysis and maintenance strategy improvements.
- Serve as the central point of coordination between Maintenance, Production, Engineering, and Supply Chain.
- Communicate maintenance plans, priorities, schedule changes, risks, delays, and execution challenges clearly and proactively.
- High School Diploma or GED required.
- Minimum of 5 years of experience as a Maintenance Planner in an industrial or manufacturing environment.
- Strong experience in maintenance planning, scheduling, and backlog management.
- Experience with:
- PM completion analysis
- MRO consumption reporting
- Parts kitting
- Work package development
- Experience managing contractors, vendors, maintenance-related sourcing, and quotes.
- Proficiency with:
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Project or Microsoft Excel for Gantt chart development
- Experience with CMMS systems, such as SAP PM or similar.
- Strong understanding of preventive and predictive maintenance best practices.
- Basic ability to read and interpret technical drawings, BOMs, and equipment documentation.
- Strong analytical, organizational, and problem-solving skills.
- Strong communication skills and ability to work cross-functionally with all levels of the organization.
- Ability to manage multiple priorities in a fast-paced manufacturing environment.
- Continuous improvement mindset with a focus on efficiency and reliability.
- Technical degree or certification in Maintenance, Engineering, or a related field.
- Formal training or certification in Maintenance Planning/Scheduling.
- Reliability training or certification.
- SAP PM experience specifically, though similar CMMS experience may also be acceptable.

Physical Demands / Environmental Conditions
Combination of office and production floor environment.
Normal office conditions. Office is located in a two-story building. Job demands may require long periods of sitting, telephone work and/or computer work, as well as interaction with other people. Normal office conditions include walking, standing, bending, kneeling, climbing stairs, lifting, driving and/or traveling.
Moderate exposure to shop conditions, which are variable depending on the task assigned, but are generally dirty. Is subject to shop noise. Involves extensive standing and walking. Skin and eyes are subject to drying and irritating fumes, vapors and solutions controlled to OSHA standards. Works both in and out of doors, normally indoors, with sometimes dusty or confining work areas when in the shop/lab.
