Job Description

Benefits Administrator

Job Summary

Manages the day-to-day administration of employee benefits, retirement, and wellness programs. Acts as the primary liaison between insurance providers, recordkeepers, vendors, and employees to ensure accurate plan administration and high-quality employee support. Balances HRIS/data management with a service-oriented approach to employee wellness.

Essential Duties & Responsibilities

  • Benefits Administration: Administer medical, dental, vision, life insurance, disability, and leave benefits; support FSAs and HSAs.
  • Retirement Plan Administration: Administer 401(k) and deferred compensation plans (enrollments, contribution changes, loans, hardship withdrawals, rollovers, beneficiary updates, distributions) in accordance with plan documents and regulations.
  • Enrollment & Life Events: Manage enrollments, life event and qualifying event changes, terminations, and annual open enrollment processes.
  • Employee Support: Serve as first point of contact for benefits and retirement questions; assist with complex claims and eligibility issues.
  • Open Enrollment Management: Coordinate annual open enrollment (system configuration, communication materials, and information sessions).
  • Wellness Program Administration: Coordinate wellness challenges, screenings, incentives, employee assistance resources, and health education campaigns; drive participation through outreach and communications; track metrics and recommend improvements.
  • Compliance & Filings: Monitor compliance with federal/state/local requirements (ERISA, HIPAA, COBRA, ACA, IRS rules, FMLA/leave laws). Support required filings (e.g., Form 5500) and assist with benefits/retirement audits and reporting.
  • Vendor Management: Interface with brokers, carriers, recordkeepers, trustees, investment advisors, wellness vendors, and third-party administrators; resolve administrative issues and track service levels.
  • Financial Oversight: Reconcile monthly benefits invoices and retirement billing; audit billing accuracy; coordinate employee deductions and employer contributions with Payroll; ensure timely remittance.
  • HRIS & Recordkeeping: Maintain accurate benefits/retirement/wellness records in HRIS; ensure data integrity and confidentiality (HIPAA-level discretion).
  • Leave Administration: Administer FMLA, short-term disability, and other leave-of-absence requests; ensure documentation and return-to-work coordination.
  • Cross-Functional Support: Partner with HR leadership on benefits strategy, retirement governance, wellness initiatives, and continuous process improvement.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, Finance, Health Administration, or related field, or equivalent experience.
  • 2–5 years experience in benefits administration, retirement plan administration, wellness program administration.
  • Working knowledge of employee benefits and qualified retirement plans (401(k), deferred compensation) and wellness programs.
  • Knowledge of applicable regulations: ERISA, IRS, ACA, COBRA, HIPAA, FMLA (and applicable leave laws).
  • Experience with HRIS and payroll systems; strong Microsoft Office skills.
  • Strong organizational, analytical, and problem-solving skills; excellent written/verbal communication.
  • Familiarity with retirement plan recordkeeping platforms and wellness administration platforms.
  • High accuracy, discretion, and attention to detail.

Working Conditions / Physical Requirements

  • Primarily office, work in onsite only.
  • Domestic travel approximately 10%.
  • Sitting and/or standing for extended periods.
  • Willingness to come in early/stay late as needed to complete time-sensitive tasks.
