Location: San Diego, CA (Eastlake, Miramar, North Island, Point Loma)

Position Type: Part time (16-29 hours/week) or Full time (30-40+ hours/week), hourly.

FLSA Status: Non-exempt

Education Level: High School diploma or equivalent is required.

Summary:

Vighter is recruiting Medical Office Clerks to provide patient care support at the Naval Medical Center, San Diego, CA. The Medical Facilities in and around San Diego are rated as a complex medical facility, therefore provides care to Active-Duty Military, Veterans, Veterans and Family members locally and from surrounding states. The Medical Office Clerk provides administrative, clerical, and customer service support for military treatment facilities (MTFs), outpatient clinics, specialty care clinics, and ancillary healthcare departments located at Naval Base San Diego.

The Medical Office Clerk serves as a primary point of contact for military personnel, beneficiaries, retirees, civilian employees, contractors, and family members seeking healthcare services. This position is responsible for patient scheduling, appointment management, medical records support, referral coordination, patient registration, customer service, and administrative support functions while ensuring compliance Defense Health Agency (DHA) and military healthcare regulations. The Medical Office Clerk contributes directly to patient satisfaction, operational efficiency, healthcare access, and mission readiness by ensuring accurate administrative support for clinical operations.

Principle Accountabilities:

  • Serves as the primary point of contact for patients, visitors, military personnel, beneficiaries, and healthcare staff.
  • Greets patients in a professional, courteous, and customer-focused manner. Provides information regarding clinic procedures, appointment requirements, referral processes, and healthcare services.
  • Assists patients with check-in and check-out procedures.
  • Responds to patient inquiries in person, by telephone, and through electronic communication systems. Directs patients to appropriate departments, clinics, and healthcare resources.
  • Maintains a professional appearance and demeanor consistent with military healthcare standards.
  • Schedules, reschedules and cancels appointments using military healthcare scheduling systems.
  • Verifies provider availability and appointment requirements.
  • Coordinates appointments among primary or specialty care, ancillary services and diagnostic departments.
  • Maintains appointment schedules and provider templates.
  • Assists with appointment reminder processes and patient notification activities.
  • Identifies scheduling conflicts and works to maximize provider utilization and patient access.
  • Supports access-to-care initiatives and appointment availability goals.
  • Maintains, updates, and manages patient administrative records within authorized healthcare information systems. Supports record requests in accordance with HIPAA, Privacy Act, and military healthcare requirements.
  • Assists with medical record retrieval, scanning, indexing, filing and document management activities.
  • Verifies patient demographic information and updates records as necessary.
  • Ensures documentation is properly maintained and safeguarded.
  • Assists healthcare providers with administrative documentation requirements.

  • Knowledge of regulations (HIPAA/Privacy Act) regarding the confidentiality of patient medical records and information as well as Personally Identifiable Information (PII).
  • Performs other duties that may be assigned from time to time.

Knowledge and Skills:

  • Must have exceptional customer service skills.
  • Employees shall be technically proficient in the skills necessary to fulfill the job requirements, including ability to speak, understand, read and write English fluently.
  • Ability to work in a fast-paced changing environment with limited supervision
  • Excellent organizational, scheduling and prioritization skills.

Education:

  • A high school diploma or equivalent is required.

Qualifications:

• A minimum of one (1) year of administrative, clerical, customer service, medical office, or healthcare support experience.

• Exceptional communication skills, both written and verbal.

• Strong team building skills and ability to motivate others.

• Team-player mindset and willingness to collaborate;

Duty Hours / On-call Requirements:

  • Generally speaking, this is a day shift position with some work, mission dependent, at night and on weekends..

  • Location: San Diego, CA

Travel:

  • As required to satisfy the contractual obligations. Commuting is non-compensatory. All official travel is government funded.

Physical Requirements:

  • Must be able to stand or sit for more than 8 hours per day.
  • Must be able to use an elevator or walk up & down stairs.
  • Must be able to lift up to 40 pounds and carry up to 10 feet.
  • Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders.
  • Must be able to read and interpret handwritten and typewritten print.
  • Must be able to communicate by voice and detect sound by ear.
  • Must be able to perform duties in an indoor office or outdoor environment.
  • Must be able to pass a criminal background investigation.
  • Must undergo Urine Drug Screening (UDS).
  • Must be a Citizen of the United States or legally authorized to work in the United States of America.
