Proposal Specialist Patient Recruitment

This role plays a key part in shaping how clinical trial patient recruitment solutions are presented to prospective clients across global markets. You will transform complex operational, strategic, and clinical inputs into clear, compelling, and high-quality proposals that support business growth. Working at the heart of the commercial function, you will collaborate closely with Sales, Trial Strategy, Partnerships, and Operations teams. The role requires strong coordination skills, precision, and the ability to manage multiple concurrent priorities in a fast-paced environment. You will contribute directly to improving access to clinical research by helping convert opportunities into long-term partnerships. The environment is highly collaborative, international, and driven by innovation and continuous improvement within clinical research operations in collaboration with Trialbee.

Accountabilities:
  • Support Trial Strategy Leads in preparing end-to-end client proposals and deliverables, from initial RFP review through final submission, ensuring accuracy, clarity, and alignment with client requirements.
  • Analyze RFPs and related documentation to identify scope, deliverables, timelines, and compliance needs, translating them into structured proposal inputs.
  • Build and maintain proposal foundations using approved templates, case studies, historical data, and standardized content to ensure consistency and quality.
  • Coordinate inputs across Sales, Partnerships, Trial Strategy, Operations, and Marketing teams, ensuring timely collection of contributions including pricing and partnership elements.
  • Maintain and improve proposal content libraries, templates, and documentation systems to enhance efficiency and knowledge sharing.
  • Support quality assurance, data visualization, and final review processes to ensure all deliverables are polished, accurate, and on-brand.
  • Leverage AI-enabled tools to optimize proposal workflows, improving speed, consistency, and scalability.
  • Identify and contribute to process improvements that enhance cross-functional collaboration and proposal effectiveness.
Requirements:
  • 1–3 years of experience in proposal coordination, patient recruitment, clinical trial operations, or a related clinical research or healthcare environment.
  • Solid understanding of patient recruitment strategies and the broader clinical trial ecosystem.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
  • Proactive mindset with the ability to anticipate needs and take ownership of tasks independently.
  • Proven experience working with cross-functional stakeholders and consolidating inputs from diverse teams.
  • Excellent written and verbal communication skills, with a strong attention to clarity and detail.
  • Familiarity with AI-enabled tools and a curiosity for leveraging technology to improve workflows.
  • High level of precision, quality orientation, and commitment to delivering accurate outputs.
