Job Description

Position Summary

The HR Training Coordinator plays a key role in supporting a well-trained, compliant, and prepared workforce in alignment with the mission of Developmental Enterprises Corporation (DEC). This role supports all programs, including Day Programs, Residential Services, DEC Works, and Corporate Operations.

This position is responsible for coordinating and supporting employee training, onboarding, and HR administrative processes to ensure employees are properly trained, compliant with applicable regulations, and equipped to deliver quality services to the individuals served.

Working under the direction of the HR Director and in partnership with the HR Generalist, the HR Training Coordinator ensures training requirements are met, training records are accurate, and onboarding and training processes are organized, consistent, and effective.

Key Responsibilities

Training Coordination & Compliance

  • Coordinate and track all required employee training to ensure compliance with applicable IDD and program regulations.
  • Maintain accurate training records and ensure all training documentation is audit-ready.
  • Monitor employee training compliance and notify supervisors and HR of outstanding or overdue requirements.
  • Maintain training database and ensure employees meet required annual training hours.
  • Support audits by preparing and organizing training records and documentation.

Training Program Support

  • Assist in the development, coordination, and implementation of training programs for new and existing employees.
  • Support training initiatives that align with organizational needs and regulatory requirements.
  • Maintain and update training materials to ensure accuracy and relevance.
  • Assist in identifying training gaps and communicating needs to HR leadership.

Onboarding & New Hire Training Support

  • Coordinate onboarding logistics, including scheduling orientation and preparing materials.
  • Ensure new hires are scheduled for required trainings and meet onboarding milestones.
  • Partner with the HR Generalist to support new hire onboarding and orientation processes.
  • Track new hire training completion and readiness for program assignment.

Training Logistics & Coordination

  • Schedule training sessions and notify employees and leadership of training requirements.
  • Arrange and prepare training spaces, materials, and resources for sessions.
  • Coordinate internal and external training sessions, including vendor scheduling and communication.
  • Support coordination of leadership trainings and program-specific training needs.

Training Data, Tracking & Reporting

  • Maintain training tracking systems and ensure accurate, up-to-date data.
  • Generate and distribute training compliance reports to leadership and HR.
  • Support collection of training feedback and assist with surveys to evaluate training effectiveness.
  • Assist in organizing training data to support workforce planning and compliance efforts.

HR Administrative Support

  • Support HR administrative functions related to onboarding, training, and employee documentation.
  • Review onboarding and training documentation for completeness and accuracy.
  • Assist with maintaining employee records related to training and HR compliance.
  • Coordinate HR-related logistics including interviews, meetings, and scheduling.

HRIS & IT Coordination

  • Work in coordination with IT to ensure new hires are properly set up with system access, including email and required platforms.
  • Assist in maintaining accurate employee data across HR and training systems.
  • Support system updates and ensure alignment between HR, training, and access processes.

Collaboration with HR Team

  • Work closely with the HR Generalist to support onboarding, training compliance, and employee readiness.
  • Assist in gathering and organizing data related to onboarding, training, and employee feedback.
  • Communicate regularly with the HR Director regarding training status, compliance concerns, and operational needs.

Qualifications

Education & Experience

  • Associate’s degree in Business Administration, Human Services, Education, or a related field preferred.
  • Combination of education and experience considered
  • Minimum of 2 years of experience in training coordination, HR support, or administrative roles.
  • Experience in human services, healthcare, or IDD environments strongly preferred.

Required Knowledge & Skills

  • Strong understanding of training compliance requirements within IDD, human services, or healthcare environments.
  • Familiarity with multiple regulatory requirements related to training and service delivery.
  • Experience coordinating training programs and tracking compliance.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • High attention to detail and accuracy in recordkeeping and documentation.
  • Strong communication and follow-up skills.
  • Proficiency with computer systems, databases, and training tracking systems.

Preferred Skills

  • Experience with Learning Management Systems (LMS) or training tracking systems.
  • Familiarity with adult learning principles or training facilitation support.
  • Project coordination or administrative coordination experience.

Additional Requirements

  • Ability to travel between program locations as needed.
  • Ability to support occasional after-hours training or onboarding needs.
