Reports To: Human Resources Director
Position SummaryThe Recruitment, Training & Operations Coordinator is responsible for coordinating recruitment, onboarding, training administration, workforce scheduling support, compliance tracking, and daily office operations. This role ensures employees are properly hired, trained, scheduled, and supported while maintaining accurate personnel records and operational systems.
The ideal candidate is organized, dependable, detail-oriented, and adaptable, with strong communication skills and a commitment to confidentiality, professionalism, and quality service delivery.
Essential ResponsibilitiesRecruitment & Onboarding- Review applications and conduct initial candidate screenings.
- Coordinate interviews with hiring managers and Human Resources.
- Manage onboarding, including document collection, I-9 verification, background checks, and credential verification.
- Assist new employees with access to agency systems and required resources.
- Coordinate employee orientations and required training.
- Prepare training materials, attendance records, and training spaces.
- Maintain master staffing schedules aligned with approved staffing patterns and participant needs.
- Support PTO coordination, staffing adjustments, and schedule coverage.
- Assist supervisors in maintaining staffing levels while minimizing overtime.
- Monitor attendance and communicate scheduling concerns as needed.
Track expiration dates for licenses, registrations, insurance,
Office Operations & Administrative Support- Manage office, training, and program to supply inventories and ordering processes.
- Track supply usage, expenses, and inventory levels.
- Process to mail, deposits, and administrative correspondence.
- Coordinate documentation with pharmacies, healthcare providers, and agency staff.
- Provide administrative support to leadership and operational teams.
- Apart of a 5-week rotation of on call responsibilities-Additional Compensation
- Associate degree in Business Administration, Human Resources, or related field preferred; equivalent experience considered.
- Minimum of two years of administrative, human resources, scheduling, or office coordination experience preferred.
- Strong organizational, communication, and time-management skills.
- Proficiency with Microsoft 365 and ability to learn agency software systems.
- Ability to manage multiple priorities while maintaining accuracy and confidentiality.
