The HVAC Service Manager is responsible for the day-to-day leadership, financial performance, sales support, and continuous improvement of the Advanced Air Systems service department. This position oversees office and field personnel, including service coordinators, customer service staff, service estimators, technicians, and the Service Superintendent. The successful candidate will own the service workflow from intake through dispatch, field execution, estimating, billing, collections support, and project closeout while maintaining customer relationships and contributing to service sales growth.

    Key Responsibilities
  • Establish and maintain departmental goals, SOPs, workflows, and performance standards.
  • Recruit, onboard, coach, develop, and manage service personnel.
  • Drive employee development through training, succession planning, and performance management.
  • Own departmental budgeting, forecasting, labor planning, gross margin, profitability, and financial performance.
  • Directly oversee service estimators, proposal development, quoting processes, and sales pipeline management.
  • Manage the complete service-call lifecycle from intake through billing and closeout.
  • Develop and maintain customer relationships, conduct service review meetings, and identify growth opportunities.
  • Support the sales of commercial HVAC repairs, equipment replacements, and preventive maintenance agreements.
  • Monitor service backlog, technician utilization, response times, work orders, and customer commitments.
  • Ensure quality control, safety compliance, permitting, warranty review, and continuous improvement initiatives.
  • Coordinate fleet readiness, purchasing, vendor performance, tools, materials, and equipment needs.
  • Maintain KPI reporting and implement corrective action plans when goals are not achieved.
  • Skills, Experience, and Knowledge Required 


    Education

  • High School Diploma or GED required.
  • Associate's or Bachelor's degree in Business, Construction Management, Mechanical Engineering, or related field preferred.
  • Equivalent HVAC technical and management education will be considered.
  • Commercial HVAC technical training, manufacturer certifications, and leadership development training preferred.
  • Experience

  • Minimum 5 years of commercial HVAC service industry experience.
  • Minimum 3 years of progressive service management or operational leadership experience.
  • Experience managing office personnel, service estimators, customer service teams, and field technicians.
  • Demonstrated experience with budgeting, forecasting, service estimating, repair and replacement sales, maintenance agreement sales, billing, collections support, and workflow management.
  • Commercial HVAC field experience strongly preferred.
  • Experience managing dispatch operations, customer accounts, service workflows, vendors, and escalated customer concerns preferred.

  • Skills & Requirements

  • Minimum 18 years of age
  • Valid driver’s license and insurable driving record
  • Comfortable climbing ladders up to 60 ft tall
  • Ability to lift 100 LBS or more
  • Successful Pre-Employment Drug test
  • Strong knowledge of commercial HVAC systems, including packaged units, split systems, VRF/VRV systems, chillers, cooling towers, controls, and VFDs.
  • Ability to support technical troubleshooting and operational decision-making.
  • Proven leadership, team-building, coaching, and performance management abilities.
  • Strong financial acumen, including budgeting, P&L management, forecasting, and margin analysis.
  • Experience managing service estimating, proposal development, pricing strategies, and sales performance.
  • Excellent customer relationship management and business development skills.
  • Exceptional organizational, communication, negotiation, and problem-solving abilities.
  • Proficiency with service management software, dispatch systems, estimating platforms, Microsoft Office, and KPI reporting tools.
  • Knowledge of OSHA requirements, permitting, quality control, compliance, fleet management, and procurement.
