Administration Team Leader

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Administration Team Leader based in Australia.

This is an opportunity to lead a small team responsible for maintaining accurate, compliant, and reliable fleet administration across a large vehicle network.
You’ll play a key role in ensuring fleet data and records remain current, consistent, and operationally dependable.
The position combines people leadership with hands-on administration, data quality, compliance, and process improvement.
You’ll oversee critical activities including registrations, servicing schedules, inspections, tolls, infringements, and vehicle records.
Working closely with operational, finance, procurement, safety, and compliance stakeholders, you’ll help maintain strong fleet governance standards.
Your attention to detail and analytical approach will directly support vehicle safety, roadworthiness, and business continuity.
This role is well suited to a proactive and organized leader who enjoys improving processes and developing people in a fast-paced operational environment.

Accountabilities
  • Lead, coach, and support a team of Fleet Administrators, ensuring accurate, timely, and consistent delivery of fleet administration services.
  • Maintain the accuracy, integrity, and compliance of fleet data across relevant systems and records.
  • Oversee key fleet administration activities, including vehicle registrations, servicing schedules, inspections, tolls, infringements, and vehicle documentation.
  • Review, validate, and quality-check fleet data and transactions to identify and resolve discrepancies.
  • Establish consistent administration practices and identify opportunities to improve processes, efficiency, and data quality.
  • Collaborate with operational, finance, procurement, safety, and compliance stakeholders to maintain effective fleet governance.
  • Support regulatory, audit, and compliance requirements related to fleet administration.
  • Help ensure vehicles remain properly documented, compliant, roadworthy, and operational.
  • Proactively identify administrative risks and issues and implement practical solutions to improve service delivery.
Requirements
  • Professional experience in fleet administration, transport, logistics, asset management, or a comparable operational administration environment.
  • Exceptional attention to detail and a strong commitment to data accuracy and integrity.
  • Intermediate to advanced Excel skills, including the ability to analyze, manipulate, validate, and interpret data.
  • Strong organizational and time-management skills, with the ability to manage competing priorities effectively.
  • A proactive problem-solving approach and a strong continuous improvement mindset.
  • Excellent communication and stakeholder engagement skills, with the ability to work effectively across multiple business functions.
  • Ability to work independently while also contributing effectively within a team environment.
  • Previous experience leading, supervising, or coordinating a team is advantageous.
  • Understanding of fleet operations, transport environments, and relevant compliance requirements is a plus.
