Harvard University Health Services (HUHS), part of University Central Administration (CADM), is the on-site multi-specialty medical practice and health administration for the Harvard community. It provides care to students, faculty, staff, eligible post-docs, retirees, and their dependents. HUHS also manages two university-owned health plans, HUGHP and SHIP, and collaborates with other departments to address public health needs.
Serves as the initial onsite responder for building conditions affecting patient care, clinical and building operations. Provides frontline building operations and central services support for HUHS locations, including routine inspections, basic upkeep, minor finish repairs, deliveries, room and furniture support, and coordination of service requests.
Job-Specific Responsibilities:
- Transports medical records, medical supplies, mail, laboratory specimens, vaccines, , equipment, and other materials between HUHS locations, satellite clinics, and other facilities in accordance with applicable policies and procedures.
- Operates the HUHS van and keeps it clean and organized, including coordinating routine vehicle servicing, inspections, oil and filter changes, and seasonal care through University Transportation Services or other designated service providers.
- Performs routine visual inspections and preventative building upkeep of assigned spaces, and troubleshoots and reports conditions that may affect safety, comfort, cleanliness, access, or operations.
- Assesses and triages observed building conditions, including leaks, unusual temperatures, electrical or equipment concerns, damaged fixtures, and access issues.
- Performs basic corrective actions or temporary measures within the scope of the position, and takes reasonable steps to protect people, property, and operations.
- Uses general knowledge of building systems and operational procedures to identify the appropriate point of contact for specialized assistance and coordinates specialized building service work with Harvard University Campus Services and outside vendors or contractors.
- Performs miscellaneous finish and carpentry work, including drywall patching, painting, improvements to offices and clinical spaces, installation of approved wall-mounted equipment, and adjustment or replacement of door and cabinet hardware.
- Works independently and collaboratively with Central Services staff to carry out departmental responsibilities, including unloading trucks, moving furniture and supplies, preparing rooms, and responding to requests for assistance.
- Provides access and basic information to vendors and contractors; observes work in progress when appropriate, documents or reports issues, and verifies that assigned work appears to be completed before closing or escalating the service request.
- Places authorized temporary controls, signage, or notifications when necessary to help protect staff, patients, visitors, equipment, and facilities until qualified assistance is available.
- Maintains basic supplies, tools, and materials used for routine building-support activities and reports replenishment needs.
- Performs other job-related duties as assigned, including cross-training to support the Central Services team during team absences.
- Adheres to the expectations and professional responsibilities of the department.
- Employs the standards, practices, and procedures of the department.
- Completes and complies with HUHS training requirements including HIPAA Privacy and Security.
- Reports non-compliance incidents to the supervisor, manager, and/or Compliance Officer.
Working Conditions:
- Work is performed in offices, clinical areas, storage areas, loading areas, garages, and other University or healthcare facilities.
- May handle packages, supplies, medical materials, laboratory specimens, and other items in accordance with applicable safety and infection-control procedures.
- Emergency Status Designation: Critical personnel – may be required to work early mornings, evenings, weekends, holidays, or during emergency or operational situations, based on department needs.
Physical Requirements:
- Must be able to perform all duties in a facilities environment that includes exposure to loud noises, temperature extremes, inclement weather conditions, airborne particles, vibration, hazardous materials.
- Must be able to maneuver in small/confined spaces, stairs, ladders, etc.; requires stooping, bending, climbing, reaching, lifting, and carrying; working from ladders, and lifting carrying objects weighing up to 60 pounds.
- Required to wear personal protective equipment and clothing when appropriate.
Basic Qualifications:
- High school diploma or equivalent.
- Previous experience in building services and support, or logistics.
- Basic computer proficiency, such as use of Microsoft Office Suite.
- Valid driver’s license and ability to operate a university vehicle in accordance with applicable policies.
- Ability to lift and transport materials weighing up to 60 pounds, with or without reasonable accommodation.
Additional Qualifications and Skills:
- Experience working in a healthcare, clinical, or educational environment.
- Experience coordinating work with internal departments, vendors, contractors, or service providers.
- Proficient with common hand tools.
- Strong time management and organizational skills; able to manage multiple priorities in a fast paced, customer focused environment.
- Professional demeanor and appearance; strong customer service orientation and follow-through with colleagues, vendors, and residents.
- Able to handle complex and confidential information.
Certificates and Licenses:
- Valid driver’s license required.
Standard Hours/Schedule: 40 hours per week, Monday - Friday, 7:00am - 4:00pm
