Summary: The Operations Supervisor is responsible for overseeing the day-to-day movement, handling, storage, inventory, and processing of consigned property through the Beverly Hills office. This position supervises Operations staff and works closely with specialists, consignment coordinators, photographers, catalogers, and the Dallas headquarters to ensure property is handled safely, accurately, and efficiently throughout the consignment process.

LOCATION: 9420 Wilshire Boulevard, Beverly Hills, CA 90212

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Supervise Operations staff, including shippers, packers, and consignment coordinators.
  • Plan and manage the efficient processing, storage, packing, and shipment of consigned property to the Dallas headquarters and other Heritage locations.
  • Coordinate operational activities related to office relocations and other special projects as needed.
  • Oversee the timely entry, tagging, verification, and inventory control of property.
  • Establish appropriate storage locations for property awaiting shipment, photography, cataloging, client return, or other disposition.
  • Maintain an efficient flow of property to photographers, catalogers, specialists, and other departments.
  • Ensure property can be accurately located and retrieved at all times.
  • Oversee the safe packing, unpacking, handling, and movement of fragile and valuable property.
  • Train Operations staff in proper property-handling, packing, moving, and safety procedures.
  • Maintain organized, secure, and orderly storage areas.
  • Oversee the storage and management of packing materials, cases, walls, display materials, and other operational supplies.
  • Coordinate and assist with boxing and crating property for interoffice and client shipments.
  • Coordinate and assist with the safe loading and unloading of trucks.
  • Oversee the movement and final disposition of sold, unsold, and returned property.
  • Maintain accurate inventory records and appropriate controls for property in the office.
  • Identify and recommend improvements to operational workflow, storage, inventory control, security, and property handling procedures.
  • Resolve operational issues and address internal or client concerns promptly and professionally.
  • Prepare monthly productivity and operational reports for management.
  • Report directly to the Managing Director.
  • Perform other duties as assigned.
Requirements:

EDUCATION & EXPERIENCE:

  • Bachelor’s degree, military training, or equivalent combination of education and relevant professional experience required.
  • Minimum of two years of experience supervising or managing personnel.
  • Previous experience in operations, logistics, shipping, inventory management, warehousing, fine art, collectibles, or a related environment preferred.
  • Proficiency in Microsoft Office applications, particularly Outlook and Excel.
  • Strong organizational skills with the ability to manage multiple priorities and maintain exceptional attention to detail.
  • Excellent communication, interpersonal, and customer service skills, including the ability to remain professional and composed in a fast-paced environment.
  • Valid driver’s license required.
  • Spanish-language proficiency preferred.
  • Ability to repeatedly lift and safely move items weighing up to 60 pounds.

WORK ENVIRONMENT: This position requires the ability to work independently and collaboratively in a fast-paced environment while handling valuable and, at times, fragile property. The role may require extended hours, including nights and weekends, based on auction schedules, shipping deadlines, special projects, and business needs.
