**Position Summary**
The Capital & Banking Relations Coordinator & Financial Administrative Assistant supports the Chief Capital Officer by keeping banking relationships, financing activities, executive schedules, financial records, and follow-ups organized and moving forward.
This role combines capital and banking coordination with financial administrative support for Donut Holdings, Inc., its franchisor operations, and corporate-owned LaMar’s locations. The coordinator also assists the Accounting Department during periods of increased workload and time-sensitive reporting.
The ideal candidate brings advanced analytical and administrative skills, the ability to interpret financial information, exceptional accuracy, and the initiative to take ownership of assignments. **Primary Responsibilities**
**Capital & Banking Relations**
- Schedule and confirm meetings with banks, credit unions, lenders, financing partners, and internal stakeholders; coordinate calendars, meeting logistics, and supporting materials.
- Prepare agendas, take meeting notes, and maintain action lists identifying the responsible person, due date, status, and next steps.
- Maintain accurate institution and contact records, including titles, contact information, relationship history, correspondence, and financing interests.
- Track financing opportunities, lender requests, applications, document submissions, reporting deadlines, and follow-ups; promptly flag delays and missing information.
**CRM & Document Organization**
- Maintain accurate records in the company’s CRM and Microsoft Dynamics 365, including contacts, activities, tasks, reminders, and financing status, following established workflows.
- Organize financial statements, applications, correspondence, lender packages, and supporting records using consistent file names, dates, version controls, and access permissions.
- Use Sage accounting software to retrieve authorized reports, organize supporting financial records, and assist with approved entries and tracking.
- Keep CRM activity records aligned with relevant financial documentation.
**Financial & Administrative Support**
- Compile financial information and supporting schedules for the Chief Capital Officer, including cash flow summaries, debt schedules, lender comparisons, and financing request packages.
- Read and interpret income statements, balance sheets, cash flow statements, budgets, accounts payable and receivable aging reports, and debt information; identify trends, discrepancies, and questions requiring review.
- Create, update, and review Excel analyses and reports; verify source data, formulas, totals, dates, and supporting assumptions before distribution.
- Manage Outlook calendars, meeting invitations, email follow-ups, travel arrangements, expense documentation, and other executive administrative needs.
- Prepare and proofread correspondence, Word documents, meeting materials, reports, and presentations to ensure accurate spelling, grammar, formatting, and financial terminology.
**Accounting Department Support**
- Assist Accounting during periods of increased workload, approaching deadlines, and month-end, year-end, audit, or other reporting demands.
- Provide assigned support with invoice entry, accounts payable and receivable documentation, reconciliations, data entry, record cleanup, and close schedules under Accounting’s direction.
- Coordinate priorities with the Chief Capital Officer and Accounting leadership, maintain an accurate task list, and communicate workload or capacity constraints before deadlines are missed.
**Team Support & Professional Judgment**
- Protect confidential company, banking, employee, and financial information; follow established document-sharing procedures and approval requirements.
- Use company-approved AI tools to improve drafting, summaries, research, analysis, and workflow efficiency; verify outputs and handle confidential information according to company policy.
- Work within delegated authority, follow accounting controls, and route financial commitments, payments, and banking changes through authorized approvers.
- Improve administrative processes, help colleagues complete time-sensitive work, and perform other duties and special projects as assigned.
