How you will make an impact.

· The Cosmetic Concierge is responsible for providing and ensuring that our cosmetic patients receive excellent care, customer service and follow up before, during, and after treatment.

· Has a wonderful personality, is professional and presentable, and embodies the essence of CCSD; innovative, forward thinking, assertive and polished.

· Is reliable and a quick learner, available and on time daily with the ability to evolve as the practice grows.

· Has experience in customer service and sales, able to communicate with the patient, gain insight into their needs and desires, and help guide them from their initial contact with our office, appointment scheduling and follow up after cosmetic procedures.

· Is intuitive and has excellent follow-up. In this position there should be continual follow-up and catering to patients who have had a cosmetic consultation and or cosmetic procedure. Cosmetic Concierge will also touch base with patients we have not seen in a while, and use a friendly demeanor to gain insight into a potential hold up on scheduling.

· Our practice is made up of premier providers who want their patients to feel like each of them are their most important priority. The Cosmetic Concierge will be the person responsible for displaying that level of attention to every patient.

Patient Care:

· Customer service

· Provide personalized, compassionate patient care and satisfaction

· Provide provider support and satisfaction

· Provide support to Cosmetic Patient Coordinator

· Introduces his/herself at patient’s check in for cosmetics

· Physician schedule adherence – follow schedule templates

· Treatment plans for cosmetic patients; discuss with patients all costs involved with his/her cosmetic procedure; review financial options with the patient. Familiarity of Care Credit and Prosper Healthcare.

· Takes phone calls for new and established cosmetic and plastic surgery patients

· Assist patient with Alle, Aspire and other Rewards programs

· Act as a liaison between patient and provider.

· Responsible for patient email and telephone inquiries.

· Documents the entire process in the notes tab and contact log in EMR system.

· Has an understanding of the types of procedures performed in the practice and is able to communicate the details to prospective patients.

· Orients and educates patients by meeting them; explaining / initiating the care plan; providing educational information in conjunction with direct care providers related to treatments, procedures and continuing care/maintenance requirements.

· Prepares and enters cosmetic treatment plans in EMR platform in collaboration with providers and provides portal access and printouts for patients

· Print out and work no-show report and follow up on cosmetic consult no-shows, recall reports, Allergan and Aspire points that will expire and special promo events, non-converted cosmetic quotes reports and pre-payment reports

· Confirms all new and established cosmetic consultations and all injectable patient appointments

· Performs post treatment follow up with all cosmetic patients via telephone

· Perform Reveal Skin Analysis to help buffer wait times.

· Have full working knowledge of injectable products, skincare products and current promotions

Education and Experience

· College degree preferred, experience in a medical setting; dermatology, cosmetic arena

· One to two years of cosmetic surgery/plastic surgery experience preferred

· One to two years of sales experience preferred

Physical Requirements and Environmental Conditions

  • Work is performed during regular work hours, but may require overtime and/or weekend hours to meet deadlines.
  • Work in varying degrees of temperature (heated or air conditioned).
  • Position requires sitting for 4-6 hours per day and walking for 2+ hours per day.
  • Position requires light to moderate work with 50 pounds maximum weight to lift and carry.
  • Position requires reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing.
  • Must possess the physical and mental abilities to perform the tasks normally associated with a Medical Administrative Assistants such as manual dexterity to operate office machines including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.

Primarily responsible for daily global cosmetics, plastics and esthetic operations of the Practice while supporting all aspects of the cosmetic patient experience. Directly oversees the Skin Science, Esthetics, and Concierge teams, staffing, training, and processes. Serves as the subject matter expert, ensuring proper communication between physicians, mid-level providers, associated management teams, and patients.
