Position Description:
About Us
Thermal Concepts, provides high-quality HVAC services to commercial clients across the region. — and we’re seekinga highly organized and customer-focused Dispatcher to support our HVAC Service Department. In this role, you will be responsible for coordinating service requests, scheduling technicians, and ensuring efficient communication between customers, field personnel, and internal teams.
What you'll do
- Respond to customer service requests received by phone, email, and other communication channels.
- Coordinate and assign service calls to HVAC technicians based on availability, experience, location, and service priority.
- Provide technicians with job information, customer details, and any special instructions before dispatch.
- Track technician schedules throughout the day and adjust assignments as priorities or emergency calls arise.
- Maintain accurate records of service requests, technician status, customer interactions, and job progress.
- Work closely with service managers, sales, and the parts department to ensure timely and successful job completion.
- Deliver excellent customer service by answering inquiries, resolving scheduling concerns, and providing status updates.
- Confirm appointments, communicate schedule changes, and follow up with customers as needed.
- Identify opportunities to improve dispatch processes and increase operational efficiency.
- Ensure all dispatch activities are completed accurately and in compliance with company policies and service standards.
Position Requirements:
What We're Looking For
- High school diploma or equivalent required.
- Previous experience in dispatching, scheduling, customer service, administrative support, or a related role preferred.
- Experience in HVAC, construction, mechanical contracting, or service industries is a strong plus.
- Familiarity with HVAC systems, terminology, and service operations preferred.
- Proficiency with Microsoft Office (Outlook, Word, Excel) and scheduling or dispatch software.
- Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- Excellent verbal and written communication skills.
- Strong problem-solving abilities and attention to detail.
- Ability to remain calm, professional, and customer-focused in a fast-paced environment.
- Ability to work collaboratively with technicians, customers, management, and other departments.
- Dependable, proactive, and able to work independently when needed.
