Job Description

Job Summary:

The Harvard Chan Education and Research Center (ERC) for Occupational Safety and Health in the Department of Environmental Health is seeking a Program Coordinator for the Occupational and Environmental Medicine Residency (OEMR) Program.

The OEMR Program, founded in the 1970s, is a two-year training program, that includes clinical and research training in both years, and an MPH degree in Occupational and Environmental Health in the first year. The OEMR program, which is accredited by the Accreditation Council for Graduate Medical Education (ACGME), maintains one of the largest civilian resident cohorts in the U.S. and is recognized as the best occupational medicine program in the country.

The Program Coordinator provides support to the OEMR Program Director, serves as the Residency Coordinator for the Program, and acts as a liaison within the School and to outside institutions.

Job-Specific Responsibilities:

Duties and responsibilities include, but are not limited to, the following:

  • Coordinates administrative and program activities and serves as the principal source of information to medical students, faculty, and residents on OEMR policies and procedures
  • Manages admissions process and program recruitment efforts (communication with applicants, liaison between HSPH admissions dept and OEMR leadership, coordination of interviews and management of applicant data)
  • Manages the onboarding process for all incoming OEM residents, including distributing licensing applications, maintaining communication with residents and the MA licensing board, processing malpractice liability insurance, assisting with credentialing for all rotating institutions, and processing resident program benefits
  • Manages the evaluation processes for residents, the program, faculty, and rotations, using programmatic data management tools
  • Plans program events (orientations, grand rounds, end-of-year presentations, graduation dinners)
  • Develops and coordinates OEMR annual reports
  • Assists with medical student rotations, including international students
  • Coordinates materials for resident appointments and reappointments
  • Maintains the alumni database, resident records and files, and manages all former residents' training verifications
  • Coordinates all ACGME GMEC (Graduate Medical Education Committee), PEC (Program Evaluation Committee) meetings, including transcribing meeting minutes. Coordinates all CCC (Clinical Competency Committee) meetings
  • Serves as institutional coordinator for all ACGME-related activities, including familiarity with policies and regulations.
  • Develops all ACGME program and institutional reports, and coordinates the clinical and institutional ACGME site visits
  • Updates and maintains the OEMR website
  • Performs other duties as assigned

PLEASE NOTE: This is a part-time, benefits and overtime eligible position with a 20 hour work week.

Qualifications

Basic Qualifications:

  • 3+ years of related experience required; a combination of education and experience may be considered

Additional Qualifications and Skills:

  • Bachelor's degree
  • 3-5 years of administrative experience in a healthcare and/or academic setting
  • Experience with medical/surgical or other residency training programs, ACGME accreditation/ACGME self-study
  • Experience with ACGME e-platforms, experience with WordPress
  • Experience with Microsoft Office suite
  • Excellent written and verbal communication skills, detail-oriented, organized, genuine team player, problem-solver, discretion in handling confidential information

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
